About the role 

We are hiring a Chief of Staff for the founder and CEO of a Singapore-headquartered group in web, digital and sustainability services. The CEO is based in Switzerland and travels frequently across Asia.

This is not an executive assistant role, and it is not a concierge role. No flight bookings, no hotel reservations, no personal or lifestyle administration — the CEO handles her own travel and does not want that support. What she needs is someone who can take an open-ended problem off her desk and come back with an answer: source and vet vendors and present a comparison she can decide from, read a forty-page contract or set of accounts and tell her what matters in it, chase the thing that has stalled until it moves, and hold the operational detail so she does not have to. 

The person in this seat becomes the CEO’s right hand, and grows into ownership of the group’s operations. If you have been an Executive Assistant to a C-level executive at a multinational and found the interesting part of the job was the business problems rather than the diary, this is the role that is built out of that part. 

What you will do 

Business support and analysis 

• Source vendors and service providers, run the first round of vetting yourself, and present the CEO with a clear comparison table and a recommendation 

• Read long documents — contracts, proposals, financial statements, reports — and summarise what the CEO needs to know and decide 

• Carry out research and analysis on suppliers, markets, partners and operational questions, and present findings in a form that can be acted on 

• Review contracts and agreements as a first pass, flagging the terms that need the CEO’s or counsel’s attention 

Coordination and follow-through 

• Own tasks end to end and stay personally accountable for them until they are genuinely closed, not merely passed along 

• Chase stalled matters across time zones, suppliers, partners and internal teams, and find a way through when the usual route is not answering 

• Coordinate projects across the group’s brands, keeping owners, deadlines and dependencies visible 

• Prepare the CEO for meetings and decisions — the brief, the numbers, the open questions 

Executive and operational administration 

• Manage the CEO’s inbox and calendar with judgment about what reaches her and what does not 

• Maintain clean documentation, trackers and process notes so the operation does not live in one person’s head 

• Take on finance and operations administration as trust is established, including light bookkeeping oversight 

• Grow into broader ownership of the group’s day-to-day operations over time 

What we are looking for 

Required 

• 5+ years of experience, including time as an Executive Assistant, Executive Business Partner, or Personal Assistant to a C-level executive at a multinational company, or as an Operations Manager reporting directly to a founder or CEO 

• Demonstrable business-support work, not diary and travel work: vendor sourcing and vetting, research and analysis, comparison and recommendation 

• Experience reading and summarising long, dense documents, and reviewing contracts as a first pass 

• Comfort with financial statements and basic accounting concepts — you do not need to be an accountant, but a P&L should not be unfamiliar territory 

• Excellent written English, capable of producing a summary an executive can act on without rewriting it 

• Meticulous, structured, and personally accountable — you set your own standard higher than the one you are given 

• Resourcefulness under pressure: when the vendor will not answer email or phone and the deadline is tomorrow, you find another route rather than reporting the blockage 

• Sound judgment about what to escalate and what to simply handle 

• Reliable home internet (at least 25 Mbps) and a quiet, professional work environment for remote days 

• Available to work the 12:00 PM – 9:00 PM Manila shift 

Strong advantage 

• Prior title combining both sides of this role, such as “Operations Manager / Executive Assistant to CEO” 

• Experience supporting an executive across European and Asian time zones 

• Exposure to procurement, vendor management, logistics or freight coordination 

• Working knowledge of QuickBooks or similar accounting software 

• Experience in a web, digital, IT or sustainability business 

• Reading proficiency in Mandarin Chinese 

Not a fit 

If your experience is principally travel booking, event and lifestyle coordination, guest services or hospitality-style concierge support, this role will not suit you and you will not enjoy it — however strong that experience is.
