As a Project Administrator, you will focus on supporting project-related administration, maintaining organized information, and assisting Project Managers with workflow processes. This position requires a reliable individual capable of managing multiple priorities in a fast-paced environment.
Key Responsibilities Include
Project Administration: Set up new tender and quote enquiries in Simpro and SharePoint with 100% accuracy.
Documentation: Manage project documentation including version control for drawings, specifications, and registers (actions logs, variations).
Technician Support: Prepare and issue work-packs for technicians and coordinate travel, including flights and accommodation.
Procurement: Raise purchase orders, reconcile them against supplier invoices, and follow up on delayed orders.
Fleet & Resource Management: Schedule regular maintenance for service vehicles and conduct monthly stock-takes for office supplies and PPE.
Training & Compliance: Maintain training matrices, ensuring of licenses and certifications remain current.
Communication: Manage shared project inboxes and respond to management communications within 2 hours during business hours.
Requirements & Qualifications
Essential Experience
Proven background in providing comprehensive administrative support and meeting coordination.
Demonstrated experience in prioritizing and tracking tasks simultaneously.
Experience with procurement processes, including generating purchase orders and tracking materials.
Strong history of managing project documentation and maintaining status updates.
Experience handling sensitive information with strict confidentiality.
Technical Skills:
Proficiency in Microsoft Office Suite.
Familiarity with SharePoint (document management and access control).
Experience with Simpro or similar CRM/Project Management software is highly regarded.
Desirable Background:
Previous experience within the electrical contracting industry.
Experience conducting safety and quality audits.
