Schedule: Monday- Friday (6:30 AM - 3:30 PM PHT)

What are we looking for?

We are seeking a proactive, detail-oriented, and highly organized individual to provide essential administrative support for our project and service delivery. The ideal candidate must be capable of managing multiple priorities in a fast-paced environment while maintaining a high standard of accuracy in documentation and communication. You will be a key collaborator with internal teams, subcontractors, and clients to ensure smooth day-to-day operations and consistent workflow processes.

Skills Required

  • Administrative Excellence: Proven experience in comprehensive administrative support, including document preparation, report generation, and meeting coordination.
  • Technical Proficiency: Skilled in using office software (Microsoft Office Suite) and familiarity with Simpro (CRM) and SharePoint for document management.
  • Communication: Strong written and verbal communication skills with the ability to respond to management and client inquiries within a 2-hour business window.
  • Procurement & Inventory: Experience raising purchase orders (POs), tracking material deliveries, and reconciling supplier invoices against delivery dockets.
  • Task Management: Demonstrated ability to prioritize, delegate, and track tasks to ensure high-priority actions are commenced within 24 hours.
  • Confidentiality: A high level of discretion when handling sensitive information and management communications.

Nice to Have:

  • Industry Experience: Previous experience working within the electrical contracting industry and an understanding of industry-specific terminology.
  • Compliance Knowledge: Experience conducting internal audits or assisting with ISO/BMS documentation and registers.

What will you do?

  • Job & Quote Management: Create and update job cards and folders in Simpro and SharePoint with 100% accuracy upon receipt of purchase orders or service requests.
  • Technician Support: Prepare and issue comprehensive work packs (SWMS, ITRs, permits, plans) before dispatch and follow up within 24 hours for returned documentation.
  • Fleet & Resource Coordination: Schedule regular maintenance for service vehicles, track costs, and maintain up-to-date insurance and registration records.
  • Financial Administration: Review and edit weekly timesheets, populate the Payroll Processing Register, and prepare monthly service forecasts and unbillable reports.
  • Compliance & Safety: Maintain the Training Matrix by proactively booking inductions, licenses, and medicals to ensure $\ge95\%$ currency.
  • Stock & Office Management: Conduct monthly stock-takes of stationery, PPE, uniforms, and kitchen consumables, placing orders to maintain adequate levels.
  • Emergency Response: Action emergency calls immediately, organizing a repair response within 30 minutes of the request.
  • Reporting: Prepare materials for weekly service meetings and compile monthly service reports for managers or clients.
