HR Analyst- Onboarding & Reporting

Job Summary

The HR Analyst – Onboarding & Reporting, ensures a seamless, positive, and efficient onboarding experience for all new hires by managing pre-employment compliance, coordinating with internal and external partners, generating employment contracts, and preparing new hires for successful integration into the organization. This role supports the Talent Acquisition Partners by ensuring all onboarding processes are completed accurately and on time.

In addition, the HR Analyst – Onboarding & Reporting also provides for the reporting and analytics needs of the Talent Acquisition Team. Reporting topics may include Talent Acquisition & Onboarding weekly, monthly, quarterly, and annual performance. Satisfaction Surveys (hiring manager, new hire, etc.), headcount and manpower reports, and ad hoc operational analytics.

  • Onboarding Support (50%)
  • Data Analytics & Reporting (50%)

Pre-Employment Documents Processing

  • Collects, verifies, and validates all pre-employment requirements, including government documents, IDs, medical exam results, and pre-hire clearances.
  • Ensures accurate and timely encoding of new hire information into HR systems.
  • Follows up and guides candidates on completing requirements within prescribed timelines.
  • Reviews pre-employment forms and documents for accuracy, completeness, and compliance with company policies.

Contract Generation & Documentation

  • Prepares, reviews, and issues employment contracts, job offer packets, and required HR forms.
  • Ensures consistency of contract details with approved hiring requests and compensation guidelines.
  • Coordinates contract signing activities, whether digital or onsite, and ensures proper safekeeping of signed documents.

Background Check Coordination

  • Initiates background verification with accredited third-party partners.
  • Monitors progress and ensures timely release of background check reports.
  • Escalates red flags or inconsistencies to Recruitment and HR Business Partners for appropriate action.
  • Maintains confidential records and ensures data privacy compliance.

New Hire Productivity Tools & Access

  • Coordinates the provisioning of productivity tools (e.g., laptops, email accounts, network access, system logins) with IT, Facilities, and relevant departments.
  • Tracks issuance and ensures all systems and tools are ready by Day 1.
  • Troubleshoots issues related to access or equipment in coordination with support teams.

Onboarding Coordination & Day 1 Experience

  • Prepares and sends onboarding schedules, welcome kits, and Day 1 instructions to new hires.
  • Leads or assists in onboarding orientations, HR briefings, and introduction sessions.
  • Ensures new hires receive company policies, employee handbooks, organizational charts, and other reference materials.
  • Conducts welcome calls to address any questions before start date.

HRIS and Data Management

  • Updates, tracks, and maintains onboarding dashboards, trackers, and HRIS records.
  • Ensures accuracy of data entered into employee master files, onboarding trackers, and internal systems.

Reporting & Data Analytics

  • Prepares periodic reports on recruitment and onboarding performance, including turnaround times, compliance rates, backlog status, and stakeholder satisfaction.
  • Prepares weekly performance team huddle boards
  • Collates and reports Manpower Count across the entire organization
  • Conducts operational analytics. Derives insights from transactional logs and recruiter / onboarder inputs and translates them into actionable plans
  • Supports the data collection, wrangling and analysis for Talent Acquisition related initiatives.

Qualifications

  • Graduate of bachelor’s degree in Psychology, Business Administration, or related field.
  • Has at least five (5) years of experience in HR operations, onboarding, recruitment , reporting and analytics support.
  • Familiarity with government forms related to SSS, Philhealth, HDMF, & BIR
  • Strong organizational and documentation skills with high attention to detail.
  • Excellent communication skills and customer service mindset.
  • Ability to handle confidential information responsibly.
  • Proficient in MS Office, HRIS platforms, and digital onboarding tools.
  • Advanced proficiency in MS Excel is required
  • Knowledge of visualization tools like Tableau and Power BI is an advantage.
  • Candidates that can start immediately will be prioritized.
