Position Summary
As Payments Processor in our Financial Shared Services, you will work under the direction of the Cash and Payments Manager and Cash and Payments Asst. Supervisor. You will be responsible in overseeing and managing the business’ payment systems and processes. Ensure smooth, secure, efficient, timely and accurate payment transactions within the business and respecting the internal compliance rules and other regulation within the domain. Work closely with other departments such as finance, accounting and IT to maintain and optimize payment operations. You are expected to contribute to the success of the team and its development.
Responsibilities
Functional/Technical Expertise
Accurate and efficient handling and processing of outgoing payments using various payment methods. o Detects, notify and help to investigate and resolve failed and rejected payments to the counterparts.
- Ensure payments are duly approved and in accordance with the authorization matrix.
- Provide proof of payments as required and requested. Responsible in clearing/closing and voiding of invoices in Oracle for reconciliation and reporting purposes.
- Monitor payments and transactions to ensure accuracy, compliance, and resolution of discrepancies.
- Collaborate with accounting, finance, and other teams to support seamless payment processing and resolve any issues related to payments processing.
- Responsible with reporting any system issues and follow up a resolution with IT department.
Customer Commitment
- Identifies customer needs, creates solutions to customer problems and provide sound recommendations to their queries.
- Completes workload on time. Monitors if transactions are processed in a timely manner. Adheres to shift schedules and attendance expectations to ensure consistent support to customers and a balanced workload for peers.
- Coordinates with other teams/support to complete the request of customers.
Internal Communication
- Records and submits periodic and/or quarterly transaction records, log sheets and/or trackers. Provides support for process documentation updates of assigned entities.
- Prepares, develop and maintain a filing system for financial information, audit files, accounts analysis, other records and documents on an ongoing basis to ensure readily available information.
- Participates in team meetings/huddles, quarterly communication meetings and information cascades.
Continuous Improvement
- Identifies problem areas and sources, offers possible solutions and escalates to line leaders/seniors when necessary.
- Provides support for process documentation updates of assigned entities.
- Completes personal individual development plan and implements agreed training/development activities.
Team Support and Development o Actively participates in company-initiated/team trainings, activities and initiatives.
- Serves as back-up for next level similar or related function for business continuity.
- Participates in planning, organizing and coordinating team activities to ensure employee engagement.
- Fulfil other reasonable duties and projects as required. Assist with a variety of ad hoc tasks as assigned, such as administrative support, projects, and research.
Qualifications
Education & Experience
- Bachelor’s degree in business administration, accounting, or finance
- 0-1 year in any Finance/Accounting services, experience in Cash Application/Accounts Payable/Payments is preferred but not a requirement
- System Tools & Process o Experience using Oracle, other ERP systems and online banking system is preferred
- Familiar with SOX requirements
- Proficient in MS Office tools especially in Excel and PowerPoint
