Job Overview

The AP Specialist is responsible for reviewing and entering high-volume vendor invoices and credit card transactions, assisting with reconciliations, and supporting check runs. This role ensures accurate processing, timely resolution of discrepancies, and effective communication with vendors and internal teams. Strong Excel skills and attention to detail are essential.

Duties And Responsibilities

  • Enter and process high-volume accounts payable invoices and credit card transactions
  • Assist with reconciling vendor statements and preparing check runs
  • Convert PDFs to Excel for reconciliation or import into accounting software
  • Resolve vendor invoice issues and respond to vendor inquiries
  • Organize and maintain filing of invoices and supporting documentation
  • Support purchasing-related tasks and other AP-related duties as required
  • Follow structured processes and escalate discrepancies when needed

Qualifications & Skills

  • Ideally 2+ years of relevant AP experience
  • Strong Excel skills (formulas, pivot tables, data manipulation)
  • Experience with ERP/accounting systems (e.g., Sage, ServiceTitan)
  • Proficient in Microsoft Office (Excel, Outlook, Word)
  • High attention to detail and accuracy
  • Strong organizational and communication skills
  • Ability to handle high volumes and navigate multiple software platforms
  • Customer-service oriented and able to work effectively with internal and external stakeholders
