Our Global Operating Center located in Manila is pivotal to enhancing the Firm’s operational efficiency and streamlining legal and business services support across our global network. Our center provides comprehensive administrative, financial and operational services across office operations, compliance and new business, finance, technology, human resources, innovation and marketing. By centralizing these critical functions, the center ensures consistency and quality in service delivery while reducing operational costs. Through its integrated approach, our Global Operating Center enables the Firm to focus on its core legal services, drive global growth and maintain high standards of client service across all offices.

Position Summary

The Support Coordinator role within the Global Operations Support team is a role with responsibility for supporting systems and processes within the Office Operations function globally.

This role requires you to work closely with various stakeholders within the Global Operations team, including Function Heads, Office Managers and the RCOO’s in each region.

You will promote a ‘One Firm’ integration of regional operations through active relationships and a global mind-set.

Duties and Accountabilities

  • Operate the Translation Services shared email account. Triage and respond to requests in a consistent, professional and timely manner, escalating where necessary.
  • Process contingent worker account requests, renewals and decommissioning, for RRD Document Services accounts.
  • Assist with data collection for the annual greenhouse gas assessment firmwide. Assist with data input to the Greenstone Enterprise portal as needed.
  • Provide administrative support to the printer asset management program, (keeping records updated in ServiceNow, producing reports, liaising with Office Managers regarding printer renewals) to improve hardware standardization, data and reporting.
  • Assist with bi-annual testing of the emergency alert system (AlertMedia) with offices globally.
  • Assist with the annual physical security assessment with offices globally using Qualtrics, and review of the Local Office Security Plans and Risk Rating Report with offices globally.
  • Assist with the annual update of Business Continuity guide and emergency information sheets with offices globally.
  • Respond to ISOS technical support tickets, coordinate technical support with vendor.
  • Maintain a professional approach to managing issues, escalating as needed and keeping relevant stakeholders updated.
  • Practice stakeholder influencing skills to encourage awareness and adoption of Global Operations systems and processes throughout the Firm.

Qualifications

  • A bachelor’s degree is necessary.
  • At least 2 years of relevant work experience in a global operations role with stakeholder management.

Essential Job Requirements

  • Intermediate proficiency in Microsoft Word, Outlook, Excel, PowerPoint, MS Teams.
  • Excellent verbal and written communication skills.
  • Strong Attention to Detail.
  • Demonstrates strong relationship-management skills, with a proven ability to collaborate and communicate professionally across all levels within a professional services environment.
  • Demonstrates strong analytical thinking and the ability to exercise sound judgment in various tasks, requests and projects.
  • Self-motivated and driven to seek high standards and constant improvements.
  • Preferred systems experience (training will be provided) in: ServiceNow, EMS (RRS), AlertMedia, MS Teams, ISOS, Travel Tracker.
  • Ability to consistently uphold high standards of service excellence.
  • Proactive, resourceful and a proven team player.
  • Flexible and amenable to work different shifts.
