Senior Payroll Administrator
Responsibilities And Accountabilities
Global Payroll Execution: Run the payroll for staff recruited worldwide.
Reporting & Review: Generate and provide relevant payroll reports to HR focal points after each run for their review, correction, and action; ensure all necessary adjustments are completed before final processing.
Payroll Closure: Generate final payroll reports for approval and closing of the payroll period. Provide relevant reports to HR for their records.
Accounting Reconciliation: Generate, review, and reconcile the final accounting file.
Separation Clearances: Ensure that staff separations are cleared and all accountabilities are settled before releasing final payments.
Compliance & Accuracy Verification: Check the accuracy and validity of input calculations and coding to ensure entries align with staff rules, financial regulations, and other administrative issuances.
Master Data Validation: Verify and validate salary scales, allowances, payroll master data, and banking details within the ERP payroll module.
Data Quality Control: Maintain statistical reports and queries; check electronic data output and take corrective measures if errors are identified across payroll reports, earnings/deduction rosters, pay slips, and payment details.
Account Monitoring: Reconcile accounts monthly or periodically by monitoring and clearing open items related to staff entitlements; follow up with staff members to ensure prompt recovery of any amounts due to the organization.
Team Collaboration: Work closely with colleagues in the unit to promptly address queries, concerns, and issues related to staff salary. Run and verify reports, prepare calculations, and make or amend data entries as needed.
Policy Adaptation: Manage and adapt to planned, unexpected, or exceptional updates in relevant policies that alter standard business processes. Propose action plans and adjustments to the supervisor as required.
Process Automation: Assist in developing tools and matrices to automate processes and facilitate the unit's workflow.
System Enhancement: Partner closely with OSU and ITC on business requirements for system developments or enhancements.
Continuous Learning: Stay abreast of ongoing changes in human resources policies as they relate to employee benefits and allowances.
General Support: Perform other related duties as required.
