The Accounts Payable Officer will partner with the Accounts Payable Manager to streamline AP reconciliations and enhance overall Accounts Payable processes. The position plays a critical role in ensuring all Freight supplier invoices are accurately captured and processed within agreed rates and terms. It is also responsible for supporting the Freight suppliers contract and Fuel levy, as well as maintaining accurate Freight supplier onboarding records and quality assurance documentation to ensure compliance and process integrity.
Duties And Responsibilities
Maintain Freight Rates for each Transport Company
Create Freight Purchase Orders.
Allocated Purchase Order by each Sales Order.
Review Freight invoices, match against accruals and process them.
Use and maintain and enhance Freight Provision Excel calculator.
Proactively follow up with suppliers to obtain missing invoices and supporting documentation.
Liaise with suppliers to build relations – and resolved queries.
Maintain Freight supplier records and documentation, including tracking and following up on missing or expired compliance certificates.
Investigate and follow up complex discrepancy issues
Advise the FPA on accruals for the week/month.
Qualifications
3+ years of experience in Accounts Payable, with exposure to Purchase Orders and provisions.
Strong background in invoice reconciliations and resolving discrepancies.
Experience supporting payment runs, invoice processing, and month-end AP close.
Experience working with suppliers and onshore operations teams.
Advanced to intermediate Excel skills
Experience with ERP or accounting systems (e.g., Pronto or similar)
Experience with ticketing/workflow systems such as Zoho or similar platforms.
Understanding of Purchase orders and provision process.
Strong data accuracy and document management capability.
Exceptional attention to detail and reconciliation accuracy
Exceptional issues resolution capability
Confident communicator who can professionally follow up suppliers and internal stakeholders.
