Job Description

  • Project Planning: Assist in developing project plans, schedules, timelines, work procedures, and required deliverables to ensure projects are completed within agreed timelines.
  • Scheduling & Coordination: Coordinate with contractors, engineers, suppliers, and other stakeholders regarding work schedules, site activities, and material deliveries to ensure alignment with project milestones.
  • Communication Liaison: Serve as the central coordination point between the Maxicare Project Manager, contractors, engineers, clients, suppliers, and relevant government agencies to facilitate timely communication and resolution of project concerns.
  • Documentation Management: Maintain and organize project documentation, including contracts, permits, plans, RFIs, change orders, progress reports, technical reports, and other project records. Ensure the Project Binder is complete and properly prepared for turnover to Facilities Management.
  • Budget & Cost Tracking: Monitor project expenditures against approved budgets, maintain cost tracking records, assist in identifying cost variances, and prepare periodic financial and project status reports.
  • Site Monitoring: Conduct site visits, as required, to monitor project progress, validate completed works, document milestones, identify issues, and coordinate corrective actions with the appropriate stakeholders.
  • Compliance & Quality Oversight: Assist in ensuring project activities comply with applicable safety standards, building codes, permits, government regulations, company policies, and project specifications.
  • Progress Monitoring & Reporting: Track project milestones, deliverables, and outstanding action items; provide regular updates to the Project Manager and escalate delays, risks, and issues requiring management attention.
  • Contractor Coordination: Monitor contractor deliverables and coordinate requirements, schedules, site access, and documentation to support the timely completion of project activities.
  • Risk & Issue Coordination: Assist in identifying potential project risks, delays, and operational issues and coordinate with relevant stakeholders to support timely resolution.
  • Turnover & Close-Out: Assist in project completion, punch listing, close-out activities, documentation completion, and turnover of completed projects to Facilities Management.
  • Other Duties: Perform other related duties and responsibilities as may be delegated by the immediate supervisor.

Required Experience

  • 3–5 years of relevant experience in project coordination, construction/project management, facilities management, engineering, or a related field.
  • Experience coordinating contractors, suppliers, engineers, and other project stakeholders.
  • Experience in project scheduling, documentation, budget monitoring, and progress reporting.
  • Working knowledge of construction processes, building permits, safety requirements, and applicable government regulations.
  • Experience in handling RFIs, change orders, project reports, contracts, permits, and project close-out documentation is preferred.
  • Experience in a corporate, commercial, healthcare, property, or facilities environment is an advantage.
  • Proficient in Microsoft Office applications, particularly Excel, Word, and PowerPoint; familiarity with project management or scheduling tools is an advantage.
  • Strong coordination, communication, organization, problem-solving, and stakeholder management skills.
