Job Summary

The Operations Manager – Vendor Master Data and Operational Purchasing is responsible for managing the integrity, accuracy, and efficiency of vendor master data and overseeing operational purchasing activities. This role requires leadership in driving compliance, process optimization, and collaboration with cross-functional teams to ensure seamless vendor management and purchasing operations.

Your Responsibilities

Vendor Master Data Management:

  • Oversee the creation, maintenance, and accuracy of vendor master data to ensure compliance with organizational and regulatory standards.
  • Develop and enforce policies and procedures for vendor data governance, including onboarding, updates, and periodic reviews.
  • Monitor and resolve vendor master data discrepancies, ensuring data accuracy across systems.
  • Collaborate with IT and Finance teams to implement and enhance ERP systems and vendor data tools.
  • Drive initiatives to standardize and automate vendor master data processes.

Operational Purchasing Management

  • Manage day-to-day operational purchasing activities, ensuring timely and cost-effective procurement of goods and services.
  • Ensure compliance with company policies, purchasing guidelines, and approval workflows.
  • Oversee the resolution of purchase order (PO) discrepancies, including goods receipt and invoice mismatches.
  • Optimize the procurement process to reduce lead times, costs, and inefficiencies.
  • Support sourcing teams with supplier onboarding and contract execution processes.

Team Leadership

  • Lead, mentor, and develop a team of professionals responsible for vendor master data and operational purchasing functions.
  • Monitor workload distribution, provide guidance, and ensure the team meets performance targets.
  • Foster a culture of continuous improvement and collaboration within the team.

Compliance And Risk Management

  • Ensure vendor master data and purchasing processes comply with internal controls and external regulations.
  • Conduct periodic audits of vendor records and purchasing activities to identify risks or inconsistencies.
  • Implement corrective actions to mitigate identified risks and strengthen controls.

Performance Metrics And Reporting

  • Define and track key performance indicators (KPIs) for vendor master data accuracy, purchasing efficiency, and team performance.
  • Generate regular reports to provide insights and recommendations to senior management.
  • Leverage data analytics to identify trends and opportunities for process improvements.

Stakeholder Engagement

  • Act as the main point of contact for stakeholders regarding vendor master data and operational purchasing issues.
  • Collaborate with cross-functional teams (Finance, IT, Procurement, Legal) to align processes and objectives.
  • Build strong relationships with vendors to facilitate smooth operations and address issues proactively.

Qualifications

Who You Are:

  • Bachelor’s degree in Business Administration, Finance, Supply Chain Management, or a related field.
  • 5+ years of experience in vendor master data management, operational purchasing, or related roles.
  • Proven track record of leading teams and managing complex procurement or vendor data processes.
  • Proficiency in ERP systems (e.g., SAP, Oracle) and procurement platforms

Skills

  • Strong analytical and problem-solving skills with attention to detail.
  • Proficiency in data governance and process optimization methodologies.
  • Excellent communication and stakeholder management skills.
  • Leadership abilities with a focus on team development and motivation.
  • Advanced proficiency in Microsoft Excel and reporting tools.
  • Strong understanding of vendor management and procurement processes.
  • Knowledge of compliance requirements and internal controls.
  • Process-oriented mindset with a focus on Lean principles and continuous improvement.
  • Ability to manage multiple priorities and work under tight deadlines.
  • Strategic thinking and adaptability in a fast-paced environment.
