Scope of Role

Your role is to manage our growing Manila front office. The Office Manager is responsible for the overall office administration and operations in QHL, creating a culture of transparency, efficiency, teamwork and high performance. Primary responsibilities include overseeing key functional areas to ensure our office and hybrid organization runs smoothly and meets business needs. This includes managing administrative tasks, arranging team events in Manila, and driving employee engagement. This position involves regular communication with team members, cross-functional stakeholders, senior management, and external vendors/suppliers; and coordination, project management and presentation skills are essential.

In essence, you will be an integral part of developing a local environment and culture that fits with company values and is measured through performance metrics and employee surveys.

Responsibilities And Key Focus

  • Oversee the office operations end-to-end, ensuring timely and high-quality business support. This includes maintaining top levels of satisfaction among both external partners, internal employees, candidates and clients.
  • You will own administrative and facilities management functions of the local office, with a local team reporting to you. This includes but is not limited to areas such as vendor management, procurement, Business Continuity Plan, asset management, new location strategy and office capacity planning.
  • Audit and Compliance: Oversee audits and ensure compliance with local government regulations, particularly relevant to Philippine law, ensuring all operations adhere to legal standards.
  • Risk Management: Outline and execute strategies for managing risks associated with office working, hybrid working, remote working under rapid expansion.
  • Crisis Management: Ability to handle crises and unexpected challenges effectively with the support of your Country Head and HRBP
  • Work in alignment with the Country Head and Front Office leaders; setting the right strategy and vision to ensure smooth operations of the Centre from a commercial, technical, and practical standpoint, including the execution of the aligned strategy.
  • People & Office Administration: You will renew the recruitment license, general office administration requirements including local IT services (with support from Tech Assist), company assets control and purchase & coordination with external vendor on visa and work permit applications & renewals
  • Basic HR Support: Handling HR induction for new starters, active participation in renewal of employee annual medical & life insurance, preparing and filing relevant documents/reports according to requirement of Department of Labor & Employment, payroll oversight & support to HRBP on grievance and disciplinary procedures.
  • Perform ad-hoc duties as and when required by the management

Responsibilities

As a member of the central management team, you are responsible for partnering with peer teams that, with you, drive the core operations of the Centre:

  • Talent Acquisition: you will collaborate with a centralized HR Team via regular meetings on helping to deliver the right talent pipeline into a busy, growing Centre. It’s crucial to lead discussions on new service requests and carefully evaluate if new hires fit the Centre’s capabilities and capacity plan.
  • HR Business Partner; you will work closely with a local HRBP to ensure control over work arrangements. Your input will be crucial in making key HR decisions, aligning with the HR global team, tower leads, and the Head of GBS.
  • Local Employee Engagement; you will be responsible for creating a strategy and calendar of events to support and promote year-round activities within the Centre. This involves collaborating with other ED&I groups across the Company to share best practices and ideas for engagement that reach beyond your location.
  • Finance; you will work closely with the local Finance team on matters requiring the office budget, petty cash and vendor relations & payments.

  • Excellent management experience with a consistent track-record of successful results.
  • Proven experience in culture generation, office management and leadership.
  • Ability to analyze complex data and develop effective solutions.
  • Skilled in leading and managing organizational change initiatives.
  • Proven ability to manage multiple projects simultaneously and deliver results on time.
  • Commitment to fostering a diverse and inclusive workplace.
  • Possess strong oral and written communication skills in English.
  • Mature with high level of confidentiality
  • Result oriented and high attention to details
  • Knowledge of managing local government compliance operations in the Philippines.
