What are we looking for?
We're looking for a detail-oriented Finance and Admin Assistant (heavy in Accounts Payable) professional who can manage high-volume invoice processing and maintain accurate financial records. You'll support the finance team through reconciliations, payment processing, and administrative tasks in a fast-paced environment.
The ideal candidate is proficient in Xero and Excel, communicates well with stakeholders, and demonstrates strong organisation, attention to detail, and a proactive, collaborative mindset.
What are you expected to do?
- Managing end-to-end Accounts Payable processing
- Processing approximately 300–500 invoices across the team per week.
- Reconcile supplier statements & accounts, resolving or escalating discrepancies promptly.
- Maintaining accurate supplier records and ensuring invoices are GST compliant.
- Monitor & maintain a shared Accounts Mailbox
- Communicate effectively with internal staff and external clients/vendors via phone and email as needed.
- Provide administrative support to the finance team, including filing, data entry, and other tasks as assigned.
- Assist with ad-hoc projects and tasks to support the finance and administrative functions of the company
- Assist with month-end closing and financial reporting.
- Preparing weekly payment batches and expense reimbursements.
- Perform bank reconciliations to ensure accuracy of financial records.
You'll be a great fit if:
- You should have at least 2-3 years of experience in a similar finance and administrative role.
- You are proficient in using Xero, Microsoft Excel, and Outlook (nice to have).
- You have strong attention to detail with excellent organisational and time management skills.
- You are able to prioritise competing deadlines in a busy environment.
- You have excellent communication and interpersonal skills.
- You demonstrate a proactive attitude and willingness to work collaboratively.
- You hold a degree and/or (or are working towards) certification in Accounting, Finance, or a related field (preferred).
- You have relevant experience working with NDIS or within the home aged care/healthcare industry (highly preferred).
- You are willing to work Monday to Friday (7:00 AM to 4:00 PM Manila Time).

Please note: This role is remote; however, we require candidates to be based locally in the Philippines. This is to support occasional onsite activities such as team events, client meetings, or equipment handover. Additionally, local residency is necessary for compliance with Philippines labor laws and employment regulations.
