Job Title: Associate, Executive Operations

Location: Metro Manila, Philippines

Reports to: Managing Director, Endeavor Philippines

Overview

Endeavor Philippines is on the lookout for an organized and detail-oriented Executive Operations Assistant to provide efficient and effective administrative support to the Managing Director of Endeavor Philippines. The successful candidate will play a crucial role in empowering the Managing Director to do what is most essential by managing his day-to-day tasks, facilitating communications, and ensuring smooth operations related to the managing director’s administrative needs.

Responsibilities

Include but are not limited to:

  • Calendar Management: Handle the managing director’s schedule, managing pieces such as meetings, appointments, and travel arrangements.
  • Meeting Coordination: Organize and prepare materials required for meetings, ensuring the timely distribution of agendas, minutes, and relevant documentation.
  • Communication Liaison: Act as the first point of contact for internal and external communication pertaining to the managing director. Includes handling correspondence, emails, and phone calls on behalf of the managing director.
  • Document Management: Maintain and organize official documents, reports, and records related to managing director’s activities. Ensure confidentiality and accuracy of information.
  • Event Planning: Assist in planning and coordinating corporate events, conferences, and special meetings involving the managing director.
  • Expense Management: Track and manage expenses, prepare expense reports, and ensure compliance with organizational policies.
  • Collaboration: Work closely with other team members and executive assistants to facilitate effective communication and coordination within the organization.
  • Family Assistance: Assist the managing director and their family’s administrative needs such as handling documents and organizing schedules

Qualifications

  • Proven experience as an administrative assistant, executive assistant, or secretary.
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication abilities.
  • Proficient in Google Suit, Microsoft Office, Zoom, and other relevant software.
  • Discretion and ability to handle confidential information with professionalism.
  • High attention to detail and accuracy.
  • Experience in dealing with individuals from different countries and timezones is a plus.
