Job Description

The Agency Administrative Officer is responsible for providing administrative support to the Team.

Position Responsibilities

  • Prepare and ensure timely release of accurate reports for the team.
  • Manage and maintain team databases for efficient data access and retrieval.
  • Organize and file company forms and documents to ensure compliance and facilitate record-keeping.
  • Draft and distribute communications to business partners about team projects and initiatives.
  • Coordinate logistics and resources for team events and initiatives to ensure successful execution.
  • Manage the team calendar, including scheduling meetings, appointments, and travel arrangements.
  • Address queries from other teams and business partners, ensuring effective communication and support.
  • Collaborate with other departments to facilitate support and inter-departmental assistance.
  • Gain familiarity with various initiatives and programs to enhance team support capabilities.
  • Assist in preparing reports and presentations, ensuring compliance with brand standards.
  • Support projects by organizing tasks, managing deadlines, and ensuring effective communication.
  • Monitor and manage Agency Receivables, including preparing reports and facilitating stakeholder communications.
  • Prepare and release accurate reports, including those on Agency Receivables and Governance, to meet team and business partner requirements.
  • Provide assistance across business units by managing databases, coordinating communications, supporting logistics, and ensuring policy compliance.
  • Perform additional tasks as needed to support departmental objectives.

Required Qualifications

  • Bachelor’s degree in business administration or a related field.
  • Strong proficiency in MS Office applications (Word, Excel, PowerPoint).

  • Familiarity with office processes and procedures.
  • Detail-oriented and highly organized with the ability to manage multiple priorities and meet deadlines.
  • Demonstrated ability to produce high-quality work and maintain consistency with brand standards.
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills with the ability to work effectively with different teams and internal partners.
  • Strong presentation skills and the ability to convey information clearly and concisely.
  • High sense of business ethics and professionalism.
  • Flexible to changing priorities and business needs, with strong problem-solving skills and the ability to improve creative processes.
