Job Overview

We are looking for a highly organized and reliable Administrative Receptionist who will serve as the first point of contact for our office while taking full ownership of day-to-day administrative and office management operations. This role is ideal for someone who is proactive, detail-oriented, and thrives in ensuring that office operations run smoothly and efficiently behind the scenes.

Key Responsibilities:

Reception & Front Desk Duties:

Serve as the main receptionist and first point of contact for visitors, clients, and partners

Manage visitor logs, access passes, and office entry protocols

Handle incoming calls, emails, and general office inquiries professionally

Coordinate with staff regarding visitor arrivals and office schedules

Office Administration:

Oversee daily office operations, upkeep, and overall functionality

Manage utility accounts (electricity, water, internet), ensuring timely billing and payments

Handle rental agreements, lease compliance, and coordination with building management

Maintain office supplies, equipment, and relationships with vendors and service providers

Coordinate office repairs, maintenance work, and external service providers

Financial & Administrative Support:

Monitor office-related expenses and prepare monthly expense reports

Support budgeting and cost control initiatives

Ensure proper documentation, filing systems, and record-keeping

Assist with procurement processes and inventory management

Employee & Management Support:

Provide administrative support to onsite teams

Ensure office safety protocols and compliance are followed

Assist management with special projects, reports, and operational tasks as needed

Qualifications:

Proven experience in office administration, facilities management, receptionist, or a related role

Strong organizational, multitasking, and time-management skills

Excellent communication, coordination, and interpersonal abilities

Ability to work independently and take ownership of responsibilities

Basic accounting or financial tracking knowledge is a plus

Proficiency in Google Workspace and/or Microsoft Office
