Job Summary

The Office Manager is responsible for coordinating administrative operations within a safety training facility. This role ensures efficient scheduling of training programs, accurate record-keeping, excellent client service, and compliance with certification and safety documentation requirements.

Primary Duties And Responsibilities

  • Schedule training courses, instructors, and classrooms for two (2) locations. Coordinate with client organization to meet their training needs. Provide training quotes. Set up Zoom training sessions
  • Maintain office supplies and training materials inventory
  • Support instructors with scheduling, course preparation, training and safety training assessments
  • Supervise, support, and provide vacation relief for office administration staff, and assist with onboarding and training of office staff and instructors
  • Accounts Payable, Petty Cash, VISA
  • Payroll, Vacation Schedules, Time Off Tracking
  • Administrate Training Database – Update courses, pricing, and certificates in database and help troubleshoot any technical issues.
  • Manage IOC Fall Arrest – coordinate pickup & drop-offs with fall arrest departments, input inspections in Fall Arrest database,
  • Maintain a professional and organized work environment and ensure upkeep of office and training equipment.
  • Work with Workplace NL, St. John Ambulance, Cognibox on training, orders, issues, etc.
  • Assist with audits or documentation requests
  • Ensure compliance with occupational health and safety training standards.

Required Knowledge, Skills, Abilities, Education, And Experience

  • Diploma or certificate in Office Administration or Business (preferred)
  • 2+ years experience in office manager role
  • Experience in training, safety, or compliance environments is an asset
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, and Teams)
  • Strong organizational and multitasking skills
  • Excellent communication and customer service abilities
  • Ability to manage deadlines and changing schedules
  • Problem-solving and decision-making skills
