Position Title: Customer Billing Representative

Reports To: Supervisor/Manager

Overview

The Customer Billing Representative at Fair Trade Outsourcing is responsible for supporting accurate and efficient billing operations. This role focuses on managing end-to-end billing activities, maintaining reliable financial records, and ensuring that all invoices are processed in accordance with company standards. You will collaborate with various internal teams to uphold billing accuracy, resolve account discrepancies, and contribute to positive financial performance across the organization.

Responsibilities

  • Serve as the primary contact for client billing questions, providing clear and timely assistance.
  • Prepare and issue invoices accurately and on schedule according to client contracts and service agreements.
  • Review, validate, and update billing information to maintain dependable financial documentation.
  • Work closely with Account Managers and internal teams to address and resolve billing-related concerns.
  • Monitor outstanding balances and track payment statuses to ensure timely collections.
  • Send payment reminders and follow up on overdue invoices when necessary.
  • Maintain organized billing files and documentation for auditing and reference needs.
  • Identify billing inconsistencies and collaborate with relevant teams to correct errors and prevent recurrence.
  • Ensure all billing activities align with established procedures and compliance requirements.

Requirements And Skills

  • Previous experience in billing or a similar administrative or financial role.
  • Strong understanding of billing principles and processes.
  • High level of accuracy with excellent data entry and record-keeping skills.
  • Proficiency in spreadsheets and billing systems/software.
  • Effective written and verbal communication skills.
  • Professional and client-focused approach when addressing inquiries or concerns.
  • Strong problem-solving abilities and a proactive mindset toward resolving billing issues.
  • Customer-oriented attitude with the ability to manage client interactions effectively.
