Job Description
The Inventory and Data Management Specialist is responsible for managing and organizing a companys inventory in order to ensure that materials are properly accounted for, checking the accuracy of physical and system inventory. The function also includes supervising the warehouse team, ensuring efficient deliveries, and securing the warehouse. Also, ensuring health and safety, evaluating procedures and enhancing processes
In addition, the function also includes data management that covers all Trading sites to produce quantitative reports for the organization in order to increase efficiency, or address problems that may be revealed in the data.
The function must always be looking at new and better ways of providing better service to all our stakeholders.
Responsibilities
INVENTORY MANAGEMENT
Receives incoming deliveries of all Trading materials such as Grains and Micro materials delivered and unloaded in specified warehouses in Mindanao
Ensures that delivered materials and supplies are of exact quantity and right quality as stated in the Delivery Receipts/Invoices
Ensures proper documentation, handling and storage of all materials and supplies withdrawn from the warehouse
Monitors the movement of micro and macro from the warehouse and ensures their availability at all times and that all transactions are properly recorded.
Provides daily, weekly and monthly inventory reports to all stakeholders to track movement of stocks, aging and storage concern
Prepares and submits weekly materials forecast/Projection, weekly warehouse inventory reports
Regularly Coordinates with various departments such as Accounting, Supply Chain Planning,Procurement and Warehouse to update inventory records, discuss strategies and action plans, and reconcile data gaps or differences to prevent variance.
Coordinates with the Import team regarding the scheduled delivery of materials.
Monitors and conducts cycle count for all trading materials and reconcile count against the system issuance and report any discrepancy found.
Plans and forecast trading requirements on desired inventory level.
Performs the checking of physical item condition of all Trading materials and to ensure proper arrangement, storage and preservation of all inventory items in the warehouse.
Determines storage area and monitors of warehouse capacity and allocation
Monitors all areas of materials are implemented based on the GMP/GCP compliance
Ensures that materials storage complies with requirements set by 5S/GMP and company standards
SAP-INVENTORY MODULE
Ensures on-time and accurate SAP transactions of the following
PGR - Post Goods Receipt
PGI - Post Goods Issue
SUPPLIER MANAGEMENT
Secures renewal and Completion of Service provider Accreditation & contracts requirements on a yearly basis for services being handled.
Assesses the accredited service providers’ competence under annual Vendor Performance Evaluation Rating wherein compliance with service level agreements are being monitored and reviewed on a monthly basis.
Updates and maintains a filing database for Accreditation and Vendor Performance Evaluation Rating and provides feedback to service providers.
DATA MANAGEMENT
Creates database which corresponds to all Trading sites
Collates and generate reports required by the management
Serves as the point person for data-related tasks
Others Tasks
Ensures compliance of food safety based on the standard requirement of 5S, HACCP/GMP & ISO.
Qualifications
Bachelors degree in any 4-year course;
2–4 years in warehouse operations or inventory control;
Extreme attention to detail and a "logic-first" approach to problem-solving;
Proficient in SAP, Google sheet & dashboard creation and maintenance; and
Strong interpersonal relationship skills;
Planning and organizing skills; and
Willing to work rotating shifts, including evenings, weekends, and overtime during peak seasons.
