Job Description

The Payroll Assistant is an integral part of our organization, responsible for providing administrative support within the payroll department to ensure efficient, timely, and accurate processing of payroll activities. This role demands a high level of accuracy and attention to detail as you will handle confidential information and manage payroll-related tasks. A Payroll Assistant is expected to assist with payroll inquiries, maintain employee records, and adhere to compliance regulations. Working under the supervision of the Payroll Manager, you will help streamline payroll processes and support overall efficiency within the department. Responsibilities

  • Assist in the preparation and processing of the company’s payroll accurately and on time.
  • Maintain payroll information by collecting, calculating, and entering data promptly.
  • Update payroll records by entering changes in exemptions, insurance coverage, lend deductions, and job title and department/division transfers.
  • Respond to payroll-related inquiries and issues from employees and management effectively.
  • Ensure compliance with federal, state, and local payroll, wage, and hour laws and best practices.
  • Verify payroll information and ensure correct transfer of payments to employees’ bank accounts.
  • Prepare and distribute payroll reports as requested by management within specified timelines.
  • Assist with audits, both internal and external, by providing necessary payroll-related documents and explanations.
  • Support the HR department with payroll and human resources projects to ensure data integrity.
  • Maintain accurate payroll records and contribute to periodic data analyses and reporting as needed.
  • Collaborate with the finance team to ensure correct tax calculations and end-of-year processing.
  • Identify and recommend improvement opportunities in payroll processes for increased efficiency.

Requirements

  • Previous experience in payroll or a similar administrative role is preferred.
  • Proficient with payroll software, systems, and related computer programs needed in this role.
  • Strong attention to detail and proven problem-solving skills are essential.
  • Excellent organizational skills with the ability to handle multiple tasks effectively.
  • High level of accuracy and confidentiality when processing payroll information.
  • Strong communication skills to handle payroll inquiries and liaise with various departments.
  • Knowledge of basic payroll principles, federal and state payroll guidelines is required.
