Our client is a wholly owned Australian company manufacturing a large range of steel products including Garden Sheds and Outdoor Buildings. From its manufacturing facility in Brisbane, our client distributes an extensive range of outdoor storage products throughout Australia, as well as exporting to the Pacific region and Europe. They have been a major supplier of outdoor storage products for over 55 years. The good reputation they have built is now being recognized throughout Australia and rapidly expanding to overseas markets including New Zealand and Europe.
Duties and Responsibilities:
Accounts Payable
Process supplier invoices accurately and within required timeframes.
Match supplier invoices against purchase orders, delivery documentation, agreed pricing and internal approvals.
Review invoices for duplicate charges, incorrect pricing, missing information and other discrepancies.
Liaise with Australian and international suppliers and internal departments to resolve invoice and account queries.
Prepare supplier payment runs for management review and approval.
Process approved payments in accordance with agreed supplier payment terms.
Reconcile supplier statements and investigate outstanding, disputed or unallocated transactions.
Maintain accurate supplier records, banking details and supporting documentation.
Process employee expense claims and complete company credit card reconciliations.
Ensure invoices and supporting documentation are appropriately authorised and retained.
Assist with supplier credit applications and account maintenance.
Monitor aged accounts payable and upcoming payment commitments.
Process supplier credits and ensure they are correctly allocated.
Assist with foreign-currency transactions and supplier reconciliations where required.
Ensure expenses are correctly allocated to the relevant entity, brand, department or cost centre.
Accounts Receivable
Process customer invoices, credit notes and account adjustments accurately.
Allocate customer payments and maintain accurate customer account records.
Complete daily bank and payment reconciliations.
Monitor outstanding customer accounts and aged receivables.
Follow up overdue accounts professionally and consistently.
Liaise with Australian customers and internal teams to resolve payment disputes, pricing differences, deductions and account queries.
Process customer claims, deductions and credit requests in accordance with company procedures.
Reconcile customer accounts and major retail customer remittances.
Assist with new customer account applications and credit-limit reviews.
Escalate overdue or high-risk accounts to the Managing Director and Commercial Director.
Provide regular reporting on overdue accounts, collection activities and customer payment performance.
Assist with maintaining customer trading terms and credit controls.
Support the reconciliation of major Australian retail customer accounts.
Ensure customer receipts, credits and adjustments are allocated to the correct entity, account and brand.
General Accounting and Reporting
Complete bank, credit card, balance sheet and general ledger reconciliations.
Assist with weekly and monthly cash-flow reporting.
Assist with month-end and year-end accounting processes.
Prepare journals, accruals, prepayments and account adjustments as required.
Support the preparation of monthly management reports.
Assist with Australian GST, BAS and other financial reporting requirements.
Maintain accurate financial records in accordance with company procedures and applicable accounting standards.
Assist with inventory, purchasing, freight and product-cost reconciliations.
Investigate financial discrepancies and provide clear supporting documentation.
Assist with budgeting, forecasting and financial analysis when required.
Support external accountants, auditors and other professional advisers.
Maintain organised and complete electronic financial records.
Provide financial information and reports to management as required.
Assist with reporting by entity, brand, department, customer or product category.
Assist with Philippine statutory accounting and reporting requirements where specifically assigned.
Systems and Process Improvement
Maintain accurate financial information within Pronto Xi and associated business systems.
Use ERP systems to support accounts payable, accounts receivable, purchasing, inventory and general ledger functions.
Identify opportunities to improve finance, reconciliation and reporting processes.
Assist with developing and documenting finance procedures and internal controls.
Support automation and system improvements that reduce manual processing and errors.
Ensure appropriate financial controls and approval processes are followed.
Work with Australian and Philippine-based departments to improve purchase order, invoice approval and customer account processes.
Assist with testing and implementing finance-related system improvements.
Maintain accurate electronic records using approved company systems and document-management platforms.
Support consistent accounting processes across the company’s brands.

Must-Have Skills/Qualifications
Bachelor’s degree in Accountancy, Accounting, Finance, Commerce or a related discipline.
Previous experience in an accounts payable, accounts receivable or general accounting position.
Experience processing a high volume of financial transactions.
Strong understanding of accounts payable and accounts receivable processes.
Experience completing bank, supplier and customer account reconciliations.
Experience using accounting software or an enterprise resource planning system.
Strong Microsoft Excel skills.
Good understanding of general accounting principles.
High level of accuracy and attention to detail.
Ability to manage competing priorities and meet weekly and monthly deadlines.
Strong written and verbal English communication skills.
Ability to communicate professionally with Australian customers, suppliers and internal stakeholders.
Ability to work independently while supporting teams located across Australia and the Philippines.
Ability to handle confidential financial, banking, customer and employee information appropriately.
Favourable / Advantageous:
Previous experience using Pronto Software, particularly Pronto Xi.
Experience using Pronto Xi for accounts payable, accounts receivable, purchasing, inventory and general ledger functions.
Certified Public Accountant qualification in the Philippines, or currently working towards CPA licensure.
Previous experience working for or supporting an Australian company.
Understanding of Australian GST, BAS, accounting and business practices.
Experience working with Australian dollars and foreign-currency transactions.
Experience within a manufacturing, wholesale, distribution or retail supply environment.
Experience managing or reconciling major retail customer accounts.
Experience with inventory, freight or product-cost reconciliations.
Experience assisting with month-end reporting and balance sheet reconciliations.
Familiarity with electronic invoice processing, purchase order matching and financial reporting systems.
Experience working across multiple companies, entities, brands, departments or cost centres.
Experience within a shared-services, international support or business-process outsourcing environment.
