POSITION PURPOSE Why does this position exist?
The HR Associate provides essential support in the execution and improvement of core HR operational processes. This role is responsible for maintaining accurate employee data, processing HR transactions, coordinating employment lifecycle activities, and ensuring compliance with company policies and regulatory requirements. The HR Associate acts as a central resource for employees and managers, delivering timely and efficient HR support while contributing to the overall effectiveness, consistency, and service quality of HR Operations.
KEY RESPONSIBILITIES What does this position aim to do?
Onboarding
Key Performance Indicator (KPI)
Coordinates with new hires on the submission of pre-employment requirements
must be completed not later than Day 1 of the new hire
Encodes the new hire profile in Enboarder
1 week before onboarding date
Assist the HR Officer in the New Hire Orientation
All sign-off sheets must be printed on Day 1, the training room secured, and snacks of new hires prepared
Assist in the preparation of employment contracts
must be available on Day 1
Benefits Administration
Key Performance Indicator (KPI)
New hire reporting to government agencies
Within the 1st week of hiring
Ensures that benefit applications such as sickness, maternity, and loans are processed in a timely manner
Within 3 days from date of receipt
Process reimbursements in SSS after the benefit is released to the employee
Within 1 week from release of benefit
Liaising with the government entity relative to the processes and compliance (SSS, PagIBIG, Philhealth)
Within 1 week from request date
Coordinate registration in securing Tax Identification Number of first-time employees
Within 1 week from start date of employee
Facilitates enrolment and other member movement in our insurance (health/ accident/life insurance)
Within 2 days from the effective date of the movement
Database Management
Key Performance Indicator (KPI)
Maintain secure records, ensure retention compliance, manage digital and physical archiving of employee file.
Within the 1st week of hiring
Generate standard HR reports (headcount, movements, attrition).
as per the schedule of reports
Assist in creating a new user account in the timekeeping system
not later than Day 1
Serves as back up in updating employee records in the HRIS
within 2 weeks from update
HR Communications
Key Performance Indicator (KPI)
Drafts and disseminates HR-related communications, including policy updates, process changes, employee reminders, and organizational announcements
Sends draft at least 1 week before scheduled communication release
