Responsibilities

  • Greet and welcome visitors with a friendly and positive attitude.
  • Answer and direct phone calls professionally to appropriate departments.
  • Maintain the reception area, keeping it tidy and presentable at all times.
  • Handle inquiries from clients and provide accurate information promptly.
  • Coordinate and schedule appointments, ensuring efficient time management.
  • Receive, sort, and distribute daily mail and deliveries appropriately.
  • Assist in the preparation of regularly scheduled reports and documentation.
  • Provide basic and accurate information in-person and via phone/email.
  • Ensure compliance with security procedures, monitoring logbooks, and issuing visitor badges.
  • Support administrative tasks such as filing, photocopying, and maintaining office supplies.
  • Manage conference room bookings and assist with the setup of meetings or events.
  • Operate office equipment such as fax machines, copiers, and phone systems.

Requirements

  • High school diploma or equivalent; additional certifications are a plus.
  • Proven work experience as a receptionist or in a similar role.
  • Strong verbal and written communication skills are mandatory.
  • Professional appearance and attitude with attention to detail.
  • Ability to be resourceful and proactive when issues arise.
  • Proficiency in Microsoft Office Suite and office equipment operations.
  • Time-management skills, with the ability to prioritize tasks effectively.
