Job Description

The Payroll Specialist is a critical role within our finance team, responsible for ensuring accurate and timely processing of employee payroll. This position requires a detail-oriented individual with comprehensive knowledge of payroll practices, regulations, and systems. The Payroll Specialist will work closely with the Human Resources and Accounting departments to ensure all payroll activities are compliant with federal and state laws. This role demands excellent organizational skills, integrity, and the ability to handle sensitive employee information confidentially. Ideal candidates will have a strong understanding of payroll software, exceptional analytical skills, and the ability to communicate effectively with all levels of staff.


Responsibilities

  • Accurately process the bi-weekly payroll for all employees ensuring compliance with regulations.
  • Maintain and update payroll records by reviewing and approving changes in exemptions and deductions.
  • Calculate employee pay for overtime, bonuses, and other variable compensation items.
  • Resolve payroll discrepancies by collecting and analyzing information and communicating with stakeholders.
  • Manage and update employee payroll profiles to reflect changes in employment status.
  • Coordinate with human resources to verify and ensure all employee records are accurate.
  • Prepare and distribute payroll reports for management review on a regular schedule.
  • Ensure compliance with federal, state, and local legal requirements by studying existing and new legislation.
  • Assist with audits by providing documentation and responding to inquiries from auditors.
  • Implement and manage payroll controls to prevent errors and fraudulent activities.
  • Provide payroll-related information to employees and assist with any related queries.
  • Collaborate with IT support for troubleshooting payroll software issues and implementing updates.

Requirements

  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
  • At least 3 years of experience in payroll processing and administration.
  • Proficiency with payroll software, such as ADP, QuickBooks, or similar systems.
  • Strong knowledge of federal and state payroll regulations and tax laws.
  • Excellent analytical skills with a high degree of attention to detail.
  • Ability to maintain discretion and confidentiality of payroll information.
  • Strong communication skills to resolve issues and collaborate with team members.
