The Front Office Associate is a crucial part of our organization, acting as the initial point of contact for visitors and clients. Responsibilities

  • Greet all visitors warmly and ensure a pleasant first impression of the company.
  • Answer and direct phone calls to appropriate personnel promptly and efficiently.
  • Coordinate scheduling and manage appointments for meeting rooms and conference spaces.
  • Handle incoming and outgoing mail, packages, and courier services with care.
  • Maintain a clean and organized reception area and conference rooms.
  • Assist with administrative tasks, such as filing, copying, and maintaining records.
  • Provide basic information about the company and address general inquiries from visitors.
  • Ensure effective communication and coordination with various departments within the company.
  • Keep inventory of office supplies and order new items as necessary to avoid shortages.
  • Collaborate with IT and facility teams to ensure functionality of office equipment.
  • Prepare documents and reports as requested by management or other departments.
  • Support internal and external meetings with logistical and operational assistance.

Requirements

  • High school diploma or equivalent; additional education is a plus.
  • Proven experience in a similar front office or administrative role.
  • Strong verbal and written communication skills in English.
  • Proficient in Microsoft Office Suite and familiar with office equipment.
  • Excellent organizational skills with the ability to multitask efficiently.
  • Ability to maintain a professional demeanor and appearance at all times.
  • Customer service-oriented with a friendly and approachable attitude.
