Job Description

An Executive Assistant plays a crucial role in providing comprehensive support to senior executives. This position demands discretion, attention to detail, and the ability to multitask efficiently. As an Executive Assistant, you will manage schedules, organize meetings, and coordinate communication, enabling executives to focus on strategic initiatives. You will serve as a point of contact internally and externally, representing the executive professionally. The role requires exceptional organizational skills, proactive problem-solving, and the capacity to handle confidential information with integrity. This position is vital for ensuring that the executive’s office operates smoothly, enhancing productivity and enabling effective management of priorities and pending tasks.


Responsibilities

  • Maintain and organize the executive's schedule, managing appointments and meetings effectively.
  • Coordinate travel arrangements, including booking flights, hotels, and ground transportation.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Attend meetings, take meeting notes, and distribute promptly to attendees.
  • Conduct research, compile data, and prepare papers for review and presentation by executives.
  • Interface with internal and external stakeholders on behalf of the executive.
  • Manage incoming communications, filtering, prioritizing, and summarizing for the executive’s attention.
  • Ensure the executive's office is well-organized, efficient, and tidy at all times.
  • Liaise with departmental teams to coordinate and align schedules and agendas.
  • Monitor and track the executive's commitments and follow up on outstanding actions.
  • Manage special projects from inception to completion as directed by the executive.
  • Handle sensitive and confidential information with the utmost discretion and professionalism.

Requirements

  • Bachelor's degree in Business Administration or a related field preferred.
  • A minimum of 3-5 years of experience providing executive-level support.
  • Exceptional organizational and multitasking skills with a keen attention to detail.
  • Proficiency in Microsoft Office Suite and excellent command of calendar management tools.
  • Ability to handle confidential information with integrity and discretion.
  • Excellent verbal and written communication skills for varied interactions.
  • Proactive problem-solving capabilities and the ability to work independently.
