About The Role

As a Team Administrator, the core purpose of this role is to provide support to the accounting team, ensuring the seamless operation of daily tasks and aiding our, Client Service Coordinators/Administrators and the Practice Management Team.

The Team Administrator role plays a crucial part in enhancing client services by facilitating efficient client onboarding, maintaining data accuracy, and assisting in various administrative functions to meet client needs.

Key Responsibilities

Physical Mail - incoming

Assist The Onshore Team Administrator As Required With

  • Saving mail to SharePoint and distribution (internal/external clients)
  • Liaise with Client Service Coordinators or relevant accounting team members with queries

ATOmate

  • Process and follow up any documents assigned to your team (by Director)
  • Process any unassigned or internal documents. Update the practice management system so these are correctly assigned in the future
  • Check ATO Portal to confirm payment plans / debt for processing documents

Client packs

  • Assist with the collation of year end packs
  • Send and follow up collated packs
  • Send and follow up ATO forms (BAS, IAS, FBT, etc) as well as other documents for signing, as required
  • Track and save all signed documents

Debt Review

  • Review and update ATO debt reports
  • Request payment arrangements, as required
  • Distribute reports and follow up team members for actions
  • Client data maintenance
  • Download of various client related ATO Reports: ICA, ITA, etc

Lodgement Administration

  • Processing lodgement extensions
  • Check status of lodgements online
  • Lodge ATO forms through Xero Tax

Data integrity

  • Maintain client records in practice management systems and all external client records (e.g. ATO, ABR, etc.), ensuring data accuracy
  • Add/edit work items
  • Disburse expenses/costs for oncharging to clients

Onboarding and Offboarding clients

Assisting Client Service Coordinators/Client Service Administrators

  • Set up/close off work items
  • Update all data in practice management systems
  • SharePoint maintenance
  • Coordinate with onshore team to ensure completion of other tasks (ATO Portal, physical document filing/returning)
  • Provide additional support to the Client Service Coordinators and Practice Managers when requested.

Qualifications/Education

  • Basic knowledge of CRM (database) software, Excel and Word
  • Data entry proficiency
  • Prior experience in administrative roles, preferably in an accounting or similar field
  • Demonstrated ability to handle tasks with precision and accuracy
