About The Role
The Senior Business Systems Analyst leads the implementation, optimisation, and ongoing improvement of the organisations business systems. Youll translate business needs into smart system solutions, manage end-to-end system changes, and ensure platforms, workflows, and integrations run efficiently and stay aligned with evolving requirements. This role also oversees daily system performance, resolves issues quickly, and drives continuous improvement to maximise the value of the companys technology investments.
Key Responsibilities
Systems Configuration Management and Administration
- Setup and/or enhance ticketing system to allow users to raise configuration requests or system issues
- Configure systems to meet business needs throughout their lifecycle (from implementation to decommissioning)
- Systems include CRM, ATS, HRIS, LMS, PMS, Ticketing Systems
- Create and manage system user accounts, roles and permissions in line with security and compliance requirements
- Maintain configuration standards and documentation (e.g. configuration logs, release notes, access matrices)
- Regularly review and clean up permissions, deprecated features and unused configurations
Requirements Gathering
- Meet with stakeholders to gather business requirements and translate them into clear technical specifications (user stories, acceptance criteria, process maps, etc.)
- Analyse and suggest improvements to requirements, challenging assumptions where needed
- Facilitate workshops and discovery sessions to clarify pain points, constraints and desired outcomes
- Ensure requirements are aligned across impacted teams (operations, HR, finance, IT, etc.)
- Identify gaps in current processes, recommend improvements, and analyse the impact of changes on operations and system integrations.
Solution Design
- Create effective high-level and detailed solution design that addresses stakeholder requirements and ensures systems integration are maintained or improved
- Analyse the wider business ecosystem to effectively integrate new systems or process changes (data flows, dependencies, upstream/downstream impact)
- Design system workflows, integrations (APIs, webhooks, ETL) and automations that minimise manual work and improve data quality
- Ensure solution designs follow architectural, security, privacy and compliance standards
- Work closely with technical teams and vendors to validate feasibility and effort estimates
Systems Implementation and Integration
- Create detailed project plans to implement new systems or system enhancements within the expected timeframe, ensuring alignment with approved solution design, security policies, and naming conventions.
- Connect and integrate SaaS platforms (e.g. CRM, ATS, HRIS, LMS) to minimise manual work, improve data consistency and process continuity
- Configure metadata driven integration automation workflows
- Manage systems projects throughout from execution until closure
- Create staging and production environments where applicable
- Provide complete documentation including testing, support guide which includes integration points, data mappings, and error handling, user guide, and overall implementation document
- Support UAT by helping define test scenarios and validating that delivered solutions meet agreed requirements
- Provide regular status updates and manage expectations of stakeholders and vendors
Training & Change Management
- Provide effective training initiatives needed for systems support team and users ensuring high adoption and ease of use
- Provide technical support and guidance to team members ensuring best practices are followed and ensuring tasks or projects success
- Gather feedback post-go-live and iterate on configuration, processes and training content to improve adoption
- Develop and maintain training materials (guides, videos, FAQs) for system administrators and end-users
- Action and coordinate change management of system configuration, including impact assessment, approvals, communication and release planning
- Mentor junior team members on best practices in requirements, design and stakeholder engagement
Monitoring
- Implement monitoring plan and design to ensure processes expected are running and resolving errors within SLA
- Work with reporting teams for support in generating stats for daily/weekly/monthly/quarterly reporting
- Continuously monitor performance of automations and enhance accordingly
Research & Innovation
- Keep up to date with emerging trends and technologies and provide suggestions adapting these if applicable to department leaders
- Continuously scan existing SaaS platforms for new features, updates, and best practices that could add value to the business
- Develop and propose improvement initiatives with clear problem statements, options, impact analysis, and recommendations
- Proactively identify opportunities to improve systems, workflows, and integrations through automation, simplification, or re-design
- Continuously research and understand how to better leverage AI in systems
- Lead small proofs of concept (POCs) or experiments to test new tools, configurations, or integration approaches
- Capture lessons learned from projects and incidents, and translate them into concrete improvements in processes or configurations
About You
Knowledge & Experience
(Includes technical knowledge, qualifications, legislation, regulations etc.)
- Graduate of any Business, Engineering, Science or Technology course
- 3-5 years of experience in configuring business systems like CRM, ATS, HRIS
- 1-2 years of experience in using REST APIs, webhooks, workflow automation for integrating different systems
- Experience in providing operational reports
- 1-2 years of experience in gathering requirements from stakeholders
- 3-5 years of experience in process improvement initiatives
- Has experience in creating a solution design document
- 2-3 years of experience in creating workflow automations in N8N, Zapier, Freshworks workflow automation modules, or similar.
- 1-2 years of experience in managing projects

- Integrating business systems through using REST APIs, Webhooks, workflow builders
- SLA management in Freshdesk, Freshservice or any other ticketing systems
- Intermediate spreadsheet skills
- Automation skills
Technical Skills
(Exposure to the following tools is desirable)
- N8N, Logic Apps, Zapier
- JotForm, TeamForms, or any other form builder
- Power BI Reporting
- Relational databases like Azure SQL Database
- Programming languages like javascript or python
- Metadata driven frameworks for automation
- ISMS Internal Auditing/Training
