Natural Elements Painting & Repair is hiring a Project Administrator to support project setup, scheduling, follow-up, customer communication, and day-to-day administrative coordination across active jobs.
This is a fast-paced remote role for someone who is highly organized, action-oriented, and confident managing multiple moving parts at once. The right person is an excellent communicator in English, works well during Eastern Standard Time business hours, and can quickly learn systems, follow processes, and independently solve problems when issues come up.
We are looking for someone who brings urgency, strong follow-through, and the ability to keep tasks moving without constant supervision. Experience in construction project coordination or project administration is strongly preferred.
Key Responsibilities
Set up new projects and manage project administrative tasks from kickoff through closeout
Maintain accurate schedules, task tracking, and updates in company systems
Coordinate project logistics including materials, subcontractors, scheduling, and follow-up tasks
Support the Project Manager with active job coordination, production updates, and issue tracking
Communicate with customers regarding updates, scheduling changes, and project-related questions
Send regular client updates and help ensure a high-quality customer experience
Track project progress, confirm task completion, and escalate delays or problems quickly
Assist with change order coordination and documentation
Help review job progress, labor tracking, and budget-related updates
Support invoicing and payment follow-up in coordination with internal administrative staff
Assist with maintaining project records, closeout documents, and internal reporting
Participate in meetings, prepare follow-up action items, and help improve workflows and systems
Systems and Tools Used
This Role Will Regularly Use Platforms Such As
Pipedrive
Google Workspace, including Sheets, Docs, and Calendar
Slack
Connecteam
Company Cam
Other supplier and project-related software platforms
Experience with Pipedrive and Google Workspace is a major plus. These systems are central to the role.
What Were Looking For

Strong follow-through and the discipline to complete tasks fully and on time
A clear bias for action and the ability to move quickly in a deadline-driven environment
Good judgment, problem-solving ability, and independent thinking
Ability to learn and retain multi-step project processes
Ability to manage multiple priorities without losing track of details
Experience in project coordination, project administration, or project management support
Construction industry experience strongly preferred
Ability to work full-time, approximately 40 hours per week, during EST business hours
Reliable internet service, phone access, and a dependable computer setup for remote work
Schedule
Full-time
Monday through Friday
Standard working hours are 8:00 AM to 5:00 PM EST
Must be available for scheduled team meetings, including regular Monday meetings
Occasional after-hours or weekend availability may be needed depending on scheduling or project needs
Compensation And Benefits
$7.00 to $9.00 per hour
Full-time position
10 days of PTO
Paid time off may be used for vacation, sick leave, or related needs, subject to approval
