In this role, youll guide and support our Offshore Payroll Division to ensure high-quality service delivery, compliance with Australian payroll standards, and the growth and development of your team.

About The Role
The Payroll Team Lead oversees the Cebu-based offshore payroll division, ensuring accurate and compliant processing of Australian payrolls while developing a motivated and high-performing team. Youll act as a bridge between Cebu and Melbourne operations maintaining alignment, collaboration, and exceptional client service standards.
Key Responsibilities
Team Leadership & Development
- Identify team training needs and implement targeted programs to enhance payroll knowledge and performance.
- Conduct regular 1:1s and team meetings to sustain engagement, track challenges, and support wellbeing.
- Coach and guide team members in professional communication and client service.
- Support recruitment, onboarding, and performance management of Cebu payroll team members.
- Deliver servant leadership that empowers the team to perform at their best while fostering collaboration and accountability.
- Actively participate in leadership and development programs to support growth and alignment with Smartsourcings values.
Payroll Operations & Quality Assurance
- Provide hands-on support and guidance on technical and payroll-related issues.
- Oversee the timely and accurate processing of payrolls, ensuring compliance with Australian legislation and client requirements.
- Conduct audits of processed payrolls to ensure accuracy and compliance.
- Provide close oversight of new or complex payroll projects to ensure successful setup and execution.
- Independently manage end-to-end payroll processing when needed.
- Ensure all monthly, annual, and ad hoc payroll tasks are proactively planned, tracked, and completed.
- Manage task reassignments to ensure continuity during absences.
- Oversee team inboxes, ensuring timely responses and issue resolution.
Collaboration & Communication
- Act as the main liaison between the Cebu and Melbourne teams to ensure seamless coordination.
- Guide the Cebu team in maintaining clear, professional communication with clients and internal teams.
- Hold regular meetings with the Melbourne outsourcing champion to align goals, address challenges, and share best practices.
Performance Monitoring & Reporting
- Monitor team capacity, workload, and productivity to optimize resource allocation.
- Prepare and present monthly performance reports with actionable insights.
- Drive continuous process improvement, efficiency, and accountability within the Cebu payroll operations.
- Identify automation opportunities and implement improvements to enhance service delivery.
Requirements
- Bachelors degree in Accounting, Finance, or a related field
- 5+ years of payroll experience, with at least 2 years in a leadership or supervisory capacity
- Strong understanding of Australian payroll legislation and compliance standards
- Proven experience managing offshore or shared service teams
- Excellent communication and interpersonal skills
- Strong organizational and analytical abilities
- Proficiency in payroll systems (e.g., KeyPay, Xero, or similar) and Microsoft Excel
- Demonstrated ability to lead, motivate, and develop team members
- A proactive problem-solver who thrives in a dynamic, collaborative environment
