Hi! Were Smartsourcing, and were hiring a Finance Admin for a full-time, onsite role supporting our clients finance team. Youll assist with reporting, invoicing, billing checks, and accounts payable—helping ensure financial data is accurate, timely, and audit-ready.
Where Youll Be: JEG Tower, Archbishop Reyes, Corner Acacia St., Barangay Kamputhaw, Cebu City, 6000 Cebu
Role Purpose
To provide day-to-day finance administration support across reporting, invoicing, billing validation, and accounts payable. The role focuses on accuracy, timeliness, and learning core finance processes while supporting revenue integrity and operational finance activities.
Key Responsibilities
Reporting Support
- Assist with daily and weekly P&L and operational reports
- Update inbound and outbound volumes and basic revenue data
- Support preparation and distribution of client statements and reports
- Perform basic checks on reports and escalate discrepancies
Invoicing & Billing
- Assist with creating and issuing invoices in Xero
- Support freight and courier invoicing (e.g. Toll, StarTrack, Australia Post, Allied, Border Express, Aramex, Couriers Please)
- Check invoice attachments, account details, and charge accuracy
- Help follow up overdue invoices
Validation & Controls
- Assist with invoice validation and end-of-month checks
- Review inbound shipment data and warehouse charges
- Support resolution of invoicing discrepancies
- Maintain invoice files and supporting documentation
Credit Notes & Adjustments
- Assist in processing credit notes and invoice adjustments
- Update registers and reports for credit activity
Accounts Payable Support
- Retrieve, validate, and process supplier invoices
- Assist with invoice tagging and cost allocation
- Support validation of toll, freight, merchant, rental, and lease invoices
General & Ad Hoc
- Support training activities and process documentation
- Assist with ad hoc finance administration tasks
- Maintain accurate records and audit trails
Requirements Essential
- Strong attention to detail
- Basic understanding of finance or accounting principles
- Willingness to learn finance systems and processes
- Good organisational and time-management skills
- Clear written and verbal communication
Desirable
- Exposure to invoicing or accounts administration
- Basic Excel skills
- Interest in logistics, transport, or operations finance
