Job Responsibilities

  • Identify and target potential clients for social events, including individuals, families, and event planners, through proactive outreach, networking, and marketing efforts.
  • Build and maintain a robust pipeline of leads, inquiries, and bookings to achieve sales targets and maximize revenue from social event bookings.
  • Conduct consultations and site visits with prospective clients to showcase event spaces, discuss their vision and requirements, and tailor proposals to meet their needs.
  • Serve as the main point of contact for clients throughout the event planning process, providing personalized service, timely communication, and expert guidance.
  • Build strong relationships with clients by understanding their preferences, addressing concerns, and exceeding expectations to foster loyalty and repeat business.
  • Collaborate with clients to create custom event packages, including venue rental, catering menus, décor, and entertainment options, ensuring a memorable and unique experience for each event.
  • Work closely with internal departments—such as kitchen, event service, housekeeping, and audiovisual services—to coordinate all aspects of social event logistics and ensure seamless execution.
  • Develop detailed event timelines and production schedules, coordinate vendor contracts and payments, and manage event budgets to ensure profitability and cost-effectiveness.
  • Oversee event setup, including room layout, décor installation, audiovisual setup, and food and beverage service, ensuring all elements align with client specifications and hotel standards.
  • Collaborate with the hotel’s marketing team to develop promotional materials—including brochures, website content, and social media campaigns—to attract social event clients and showcase the hotel’s offerings.
  • Partner with the kitchen team to create innovative and customizable menu options that cater to the preferences and dietary requirements of social event guests.
  • Coordinate with the hotel’s event operations team to ensure seamless handover of event details and requirements, providing clear instructions and documentation for successful execution.
  • Monitor sales performance, booking trends, and revenue forecasts to track progress against targets and identify opportunities for growth and improvement.
  • Maintain accurate records of client interactions, event details, contracts, and payments using the hotel’s system, ensuring data integrity and compliance with company policies.
  • Prepare regular reports and presentations for senior management, highlighting key performance metrics, market trends, and strategic recommendations to drive business growth.
  • Prepare draft/pre-function order forms of event contracts and endorse them to the Event Coordinator for contract finalization.
  • Request prior approval from the Credit and Collection department of Finance for client payment terms consistent with hotel credit policies.
  • Endorse client special requests (e.g., menu items, banquet setup) to the authorized personnel (e.g., F&B Director, F&B Service Manager) for prior approval before commitment.
  • Explain all event policies and provisions in the Event Contract to clients to ensure smooth execution and avoid issues or complaints.
  • Secure client signatures on event contracts and require down payments upon signing.
  • Conduct spot-checks during events to ensure all client requirements are met and promptly address additional requests or issues.
  • Investigate client complaints regarding food, beverage, event facilities, or services; inform the relevant department for corrective action; escalate major issues to supervisors as necessary.
  • Document client comments and suggestions, and endorse them to supervisors for appropriate action.
  • Strive to meet assigned sales and production targets. Recommend specific action plans and sales strategies to superiors to increase event bookings.
  • Comply with all hotel policies and procedures on event function rooms, outlets, and room bookings. Inform clients of booking requirements (e.g., reservation fees, confirmation letters, option dates) to prevent future issues.
  • Prepare and submit the following reports to superiors:
  • Daily Activity Report
  • Weekly Production Report
  • Month-End Report
  • Attend and actively participate in daily morning briefings, monthly sales meetings, and other required gatherings.
  • Follow the established activity chart summarizing upcoming sales and promotional activities for the department.
  • Coordinate with the Event Coordinator or designated alternative regarding pre-blocking of reserved function rooms.
  • Demonstrate awareness of OH&S policies and procedures, ensuring all activities are conducted safely and within guidelines.
  • Adhere to occupational health and safety legislation, policies, and procedures, understanding your duty of care.
  • Be familiar with property safety, first aid, and emergency procedures; operate equipment safely and responsibly.
  • Proactively identify and correct hazardous situations and notify superiors of potential dangers.
