Administrative Assistant

This is a full-time remote position requiring availability during U.S. Eastern Time (ET) business hours, Monday-Friday, 8:00 AM - 5:00 PM ET.

Dancoby Construction is hiring an Administrative Assistant to own the day-to-day admin work that keeps our projects moving: billing, invoicing, lead intake, and documentation. This role is critical because our operations run through construction management software (JobTread + similar platforms). If youre fluent in tools like JobTread, Buildertrend, or Procore, and youre detail-obsessed, youll thrive here.

Dancoby Construction is a full-service renovation company in New York with 20+ years of experience and a strong reputation for customer-focused, thoughtful renovations. We collaborate closely with homeowners and project partners to deliver beautiful, functional spaces, often in complex city environments where logistics matter as much as craftsmanship. Were a small, tight-knit team, and this role is a key hire.

As our Administrative Assistant, youll support the owner and project team by managing administrative workflows, keeping the system up to date, and making sure billing and client documentation are accurate and on time. Youll be working remotely, but youll be deeply connected to active jobs through our project management software.

Responsibilities

  • Billing & invoicing: create and send invoices, track billing schedules, support collections follow-up when needed
  • Lead intake: respond to new inquiries, capture lead details, route leads properly, and keep the pipeline organized
  • Project admin support: keep project files, notes, and documentation updated in the software
  • Data accuracy: maintain clean records for clients, vendors, subcontractors, and job details
  • Workflow coordination: support basic scheduling/admin requests and help keep tasks moving
  • Communication support: assist with client/admin messages and internal updates as needed
  • System ownership: ensure the software stays current, because its how the business runs day to day

Required Qualifications

  • Experience working in construction administration or a similar fast-paced operations role
  • Construction management software experience is a must (JobTread, Buildertrend, Procore, or similar)
  • Strong attention to detail, especially with invoices, job records, and documentation
  • Confident communicator (email, text, phone) with a professional tone
  • Organized, reliable, and able to work independently in a remote environment
  • Comfortable learning new systems quickly and keeping processes consistent

Preferred Qualifications

  • Experience supporting remodeling, residential construction, or contractor operations
  • Experience with CRM/lead intake workflows
  • Strong spreadsheet skills (Google Sheets/Excel)
