Hi! Were Smartsourcing, and were looking for an Admin Assistant to provide reliable operational and administrative support to our Property Managers. In this role, youll handle day-to-day rental and tenancy-related tasks—supporting lease renewals, tenancy agreements, new managements, vacating tenants, bond lodgements, and invoice entry—helping ensure property management processes run smoothly and efficiently.

Role Overview

The Admin Assistant role plays a critical enabling in ensuring that property management workflows are completed accurately and on time, allowing Property Managers to progress seamlessly through subsequent stages of the rental lifecycle. While most tasks follow defined checklists and standard procedures, the role also requires adaptability when handling non-routine scenarios and client-specific requirements.

Key Responsibilities

Property Management Administrative Support

  • Support Property Managers in executing rental activities, including:
  • Lease renewals and rent reviews
  • Preparation and processing of tenancy agreement
  • New management onboarding
  • Vacating tenants and lost management processing
  • Bond lodgment and related documentation
  • Accurately complete assigned tasks in line with documented checklists, SLAs, and client requirements.
  • Enter invoices and bond-related data accurately into relevant systems.
  • Ensure all documentation is complete, accurate, and submitted within required timelines.



Communication, Coordination & Non-Billable Support

- Participate in internal meetings, team huddles, and client meetings as required.

  • Maintain regular communication with Property Managers regarding task status, priorities, and clarifications.
  • Respond to task-related queries accurately and within agreed turnaround times.
  • Support ad hoc administrative tasks as required by the Operations team.

Requirements

  • Bachelors degree in Business Administration or a related field.
  • Prior experience or background in real estate or property management is required.
  • Exposure to administrative support roles within operations-driven environments is an advantage.
  • Property management systems and document management tools.
  • Microsoft Office / Google Workspace.
  • Willingness and ability to learn Australian real estate and tenancy regulations.
  • Understanding of standard property management workflows and documentation.
