Position Summary

The Service Central Administrator is responsible for managing key operational and administrative processes within Microsoft Dynamics and other internal systems. This role supports order processing, system setup, billing, payroll coordination, and financial reconciliation to ensure efficient workflow and accurate financial and operational reporting.

Key Responsibilities

Order Processing & System Management

  • Receive and process purchase orders (POs) through Microsoft Dynamics, ensuring accuracy and completeness.
  • Create and set up customer sites based on requests received via MS Teams.
  • Ensure proper integration and connectivity between front-office and back-office systems.
  • Maintain accurate records and system data integrity.

Billing & Invoicing

  • Close Preventive Maintenance (PM) work orders and bill services covered under contract agreements.
  • Upload and submit invoices through customer web portals in a timely and accurate manner.
  • Verify billing details and resolve discrepancies when necessary.

Payroll Administration

  • Process weekly on-call payroll for Field Service Representatives (FSRs).
  • Ensure payroll accuracy, compliance with policies, and timely submission.

Financial Reconciliation

  • Perform daily reconciliation of P-card transactions via the AMEX portal.
  • Monitor and validate expenses to ensure proper documentation and policy compliance.
  • Investigate and resolve discrepancies in transactions.

Qualifications

  • Must possess a Bachelors Degree in any course
  • Prior relevant work experience is required.
  • Must have good communication skills.
  • Must be willing to work during US business hours.
  • Must be amenable to work on a hybrid setup in Rosario, Cavite.
