Primary Duties & Responsibilities

      1.    Import Shipments for Building 3, Building 4 and Building 5

The number of import transactions continues to rise, resulting in longer processing times and delays when handled by the current manpower. An additional assistant will ensure timely coordination, monitoring, and receiving of shipments for both buildings.

      2.    Customs Clearance Processing

Customs documentation and coordination have become more complex. To avoid delays, penalties, or holds, dedicated support is needed to ensure complete and accurate submission of requirements.

      3.    LOI Uploading to PTOPS with Correct HS Codes

Accurate HS code tagging is critical to avoid compliance issues and prevent incorrect duties or customs discrepancies. Additional manpower is necessary to validate, prepare, and upload LOIs in a timely manner.

      4.    Billings Management – Zero Overdue Target

Our target is to maintain no overdue billings with forwarders, brokers, and service providers. With increasing volume, timely checking, validation, and processing of invoices require additional support to avoid backlogs and ensure smooth vendor relations.

      5.    TIMTA Compliance

The monthly TIMTA reporting requires accurate and complete data gathering. An additional assistant will help ensure compliance with government reporting requirements and prevent penalties.

      6.    Export Shipments Coordination

Export volumes continue to increase, requiring proper preparation of documents, coordination with forwarders, and alignment with internal teams. Extra support is needed to prevent delays and ensure compliance with PEZA, customs, and customer requirements.

Education & Experience

  • A graduate of bachelor’s degree in business & or IT-related course or its equivalents with at least 3 years of relevant work experience in Logistics (functional skills).
  • Experience in SAP & or Oracle Systems is an advantage.

Skills

  • Organizational Skills: Ability to manage multiple tasks, prioritize duties, and maintain organized records and documentation.
  • Attention to Detail: Meticulous in reviewing and processing shipping documents and tracking shipments.
  • Communication Skills: Strong verbal and written communication skills for interacting with suppliers, carriers, internal teams, customers, and government personnel.
  • Problem-Solving Skills: Ability to identify and resolve issues related to logistics, such as shipment delays and or transportation problems.
  • Time Management: Efficient in managing time to handle various logistics tasks and meet deadlines, ensuring that shipments and processes stay on schedule.
  • Technical Proficiency: Familiarity with SAP and or Oracle Systems and tools such as Microsoft Office (especially Excel) for data entry, reporting, and analysis.
  • Teamwork and Collaboration: Ability to work well with others in a team environment, collaborating with different departments and external partners to achieve common goals.
  • Customer Service Orientation: Focused on meeting customer needs and providing excellent service, whether dealing with internal teams or external customers.
  • Adaptability and Flexibility: Capable of adjusting to changes in schedules, priorities, or logistics processes, and staying effective in a fast-paced environment.
  • Knowledge of Logistics and Supply Chain Principles: Understanding the fundamentals of logistics, supply chain management, shipping regulations, and transportation methods.
  • Analytical Skills: Ability to analyze data related to logistics operations, such as delivery times and other related factors to identify trends and make informed decisions.
