Responsibilities


  • Manage and coordinate the CMD’s calendar and key meetings (MBR, BOD, WLM, strategic engagements).
  • Maintain, organize, and safeguard CMD-related documents (permits, contracts, confidential files).
  • Prepare the reports and presentations needed by the CMD for internal and external meetings
  • Take accurate minutes and track action items from leadership meetings
  • Coordinate with corporate secretary for board matters, documents, etc.
  • Draft and send company-wide communications on behalf of the CMD.
  • Prepare articles, write-ups, and corporate materials for DHL or group-level entities.
  • Handle coordination with regards to office rental, office layout, and designs
  • Manage the company’s DocuSign account and oversee digital approval workflows.
  • Assist in the preparation of management budget
  • Support the rest of the leadership team with administrative tasks
  • Support administrative workflows in procurement and finance (document completeness checks, invoice coordination, transaction monitoring).
  • Strategic liaison to senior leadership — act as a trusted point of contact to coordinate cross-functional strategy and follow-through.
  • Stakeholder communications owner — draft executive speeches, op-eds, and high-impact communications; manage public-facing messaging.


Requirements


  • Good written and oral communication skills
  • Experience in administrative and office support tasks, including scheduling, coordination, and documentation.
  • Exposure in contract preparation, review, and safekeeping
  • Well versed in MS Office functionalities
  • Experience supporting procurement-related processes such as checking invoice completeness, tracking PR/PO/GRN, and coordinating with suppliers
  • Experience coordinating with cross-functional teams and external stakeholders (e.g., corporate secretary, suppliers
