Job Description

The Transportation Supervisor is critical in overseeing the entire transportation operation, ensuring the timely, safe, and cost-effective delivery of finished products to customers. This position requires managing the fleet of trucks and vans, coordinating daily dispatch and delivery schedules, monitoring vehicle maintenance, and optimizing routing for efficiency and cost savings. Facilitates sourcing, accreditation, and rate negotiation to build a reliable, cost-effective network of qualified service providers by identifying vendors, accrediting those who meet standards, and securing competitive pricing.

SAP - Related Tasks/Non Related

  • Coordination with Internal Departments: Collaborating with logistics, warehousing, and order fulfillment teams to ensure a seamless flow of goods. The Transportation Supervisor keeps lines of communication open to handle scheduling changes, urgent requests, or delivery issues efficiently, both with internal teams and external providers.
  • Fleet and Service Provider Management - Supervising both company-owned and third-party fleets to ensure all vehicles are in optimal working condition and meet safety and efficiency standards. This involves coordinating regular maintenance for internal vehicles, managing contracts with third-party providers, and ensuring service-level agreements (SLAs) are met. The supervisor maintains open communication with service providers to address issues quickly and maintain alignment on operational goals.
  • Cost Control and Budget Management: Monitoring transportation expenses, including fuel, maintenance, labor, and third-party provider costs. The supervisor seeks opportunities to reduce costs by renegotiating contracts, improving routing efficiency, and managing provider relationships to maintain high service standards within budget constraints.
  • Service Provider and Relationship Management: Building and maintaining strong relationships with external transportation providers, such as third-party logistics (3PL) companies, to enhance service quality and operational flexibility. This includes negotiating contracts, managing performance through SLAs, resolving conflicts, and conducting regular performance reviews to ensure reliability and responsiveness to company needs.
  • Compliance with Regulations: Ensuring all transportation operations adhere to legal and regulatory requirements, including load limits, driver hours, and safety standards. This responsibility extends to ensuring that third-party service providers comply with these regulations, promoting a safe and legally compliant operation.
  • Customer Satisfaction: Ensuring timely and reliable delivery of products to meet or exceed customer expectations. The supervisor addresses any delivery issues or delays promptly, working closely with service providers to maintain a consistent and positive customer experience.
  • Claims Management: Supervision of Claims Specialist to ensure claims are processed efficiently, accurately, and in accordance with the insurance policy terms. The process typically includes receiving the claim, investigating the circumstances surrounding the claim, determining the validity and coverage, and ultimately settling the claim through payment or other means. Effective claims management aims to provide a fair resolution for the policyholder while also managing the financial and operational impact on the insurance company.
  • Training & Development: Identify training needs by assessment of current skills and competencies for truck drivers and transportation staff.
  • Settlement Freight
  • Cost distribution settlement needs to be posted once all the settlement is created in the system. Run a report to identify posted FSDs that have not been distributed and process those for cost distribution. “Ensuring timely FSD issuance within SLA (3 days)
  • Make necessary changes to the charges indicated in the Freight Settlement Document. Freight charges need to be updated before post the settlement. An example can happen if any new rule in charges is created before the settlement.
  • Make sure all cost distribution settlement needs to be posted once all the settlement is created in the system.
  • Run a report to identify posted FSDs that have not been distributed and process those for cost distribution.
  • Reports for Transportation
  • Initiate SAP S/4HANA Launchpad in Desktop
  • Log-on to client system using SAP user credentials
  • Execute the Report
  • Cancellation of FSD - Strictly no cancellation of the created FSD if the transaction is posted already in the previous month. Provide reason of the canceled FSD.Cancellation of FSD must be approved by the Logistics Manager
  • FSD Issuance- Creation and issuance of FSD 2 working days lead time upon receipt of the submitted documents from the service provider.
  • Manual Accrual- Planners must provide a reason for all identified manual accrual transactions
  • Reports Generation
    • Monthly Cost Savings Report
    • Monthly Freight Cost & Analysis
Qualifications

Education:

  • Bachelor’s degree holder in any business-related or engineering course.

Experience

  • At least 1-2 year of experience in Logistics in a supervisory function.

Licenses

  • not required

Other Requirements

  • Computer literacy in data processing and company required software.
  • Knowledge in Oracle Transport Management is an advantage.
  • Strong interpersonal relationship skills.
  • Planning and organizing skills.
  • Knowledge of basic mathematics.
  • Ability to effectively communicate well with other people (both written and verbal)
  • Has a sense of urgency.
  • Good negotiation skills.
