Your Role

Operations & Admin Support

Manage jobs and work orders in Simpro, ensuring all details and documents are accurate and complete. Prepare invoices, completion reports, and update job statuses daily. Coordinate schedules, send reminders to trades, and check material availability. Maintain organised records of photos, reports, and correspondence.

Quality & Compliance

Review completed jobs to ensure all required documents, notes, and checklists are submitted. Follow up on missing information and assist with customer satisfaction checks.

Finance & Reporting

Upload supplier invoices and maintain accurate job cost records. Track outstanding invoices and assist with weekly operations reporting.

Recruitment & Workforce Admin

Support recruitment tasks, including job ads, resume screening, interview scheduling, and onboarding. Maintain subcontractor records, insurance, and compliance documents.

Asset & Inbox Management

Track company assets, registrations, servicing, and maintenance schedules. Assist in managing admin inboxes and prioritising communications.

Systems & Process Improvement

Support Simpro optimisation, SOP creation, and process improvements to improve workflow efficiency.

What You Need

Non-negotiables

  • Experience in Simpro, NetSuite, or Oodo, or any similar platform, is preferred.
  • Strong administrative and organisational skills with close attention to detail
  • Strong written and verbal communication skills in English
  • Ability to manage multiple tasks
  • Proactive and solution-focused mindset
  • Proficiency in Microsoft Office

Preferred Skills/expertise

  • Basic understanding of invoicing and allocating costs (preferred)
  • Experience in supporting construction, trades, or service-based businesses
  • Experience using job management systems such as Simpro, AroFlo, ServiceM8, or similar (an advantage)
