Role Overview
The Executive Assistant to the President and CEO, Tokio Marine HCC - North America P&C serves as a strategic partner and trusted advisor, providing high-level administrative, operational, and organizational support. This role requires exceptional judgment, discretion, and the ability to manage competing priorities in a fast-paced environment. The Executive Assistant plays a critical role in enabling the President to operate effectively by anticipating needs, streamlining workflows, and ensuring alignment across key business initiatives. Additionally, the Executive Assistant will offer support to other leaders as needed, further enhancing collaboration and operational effectiveness.
Key Responsibilities
- Manage and optimize the President’s calendar, ensuring alignment with business priorities and strategic objectives
- Serve as a gatekeeper and facilitator, prioritizing access to the President and managing competing demands
- Anticipate needs and proactively address issues to enhance executive effectiveness
- Prepare briefing materials, agendas, presentations, and reports for meetings, board interactions, and external engagements
- Act as a liaison between the President and senior leadership, employees, and external stakeholders
- Draft, review, and manage correspondence, presentations, and confidential communications
- Coordinate executive meetings, leadership sessions, and offsite events, ensuring clear agendas and follow-up actions
- Facilitate communication flow across departments to ensure alignment and execution of priorities
- Screen and prioritize incoming communications, including email, calls, and requests
- Support execution of key strategic initiatives and special projects led by the President
- Track progress on high-priority initiatives and follow up with stakeholders to ensure timely completion
- Assist with preparation of executive dashboards, reports, and business updates
- Coordinate domestic and international travel arrangements, including detailed itineraries
- Handle sensitive and confidential information with the highest level of professionalism and discretion
- Exercise sound judgment in decision-making and escalation of issues
- Manage budget and prepare expense reports
- Maintain and frequently update databases that the executives use in their day-to-day activities
- Review incoming mail, requests for action or information and route to the appropriate staff member for action
- Oversee and assist with building management, maintenance of office equipment, inventory of general supplies and equipment, and other miscellaneous supply contracts such as overnight delivery, courier services, document destruction, and record storage
Minimum Knowledge, Qualifications And Education Requirements
- Bachelor’s Degree is required
- 5+ years of experience supporting C-level executives in a corporate environment
- Excellent written and verbal communication skills with an emphasis on confidentiality, tact, and diplomacy
- Advanced organizational and analytical skills; demonstrated ability to manage multiple tasks simultaneously
- Ability to anticipate needs and operate proactively with minimal direction
- Advanced proficiency and experience using Microsoft Office package (Outlook, Excel, PowerPoint, Word)

Pay Transparency
The pay range for this position is $89,400 - $123,000, which includes geographic adjustments, where applicable. The pay range is the range THMCC, in good faith, believes is the range of compensation for this role at the time of this posting. The hired applicant will be offered pay within the entire range based on the candidate’s geographic location, qualifications, work experience, education, and/or skill level.
