Position Title: Medical Virtual Assistant

Work Set Up: On-site

Schedule: 8:00 PM - 5:00 AM PHT

Job Location: Clark Outsourcing - Building 35 Philexcel Business Park, Clark, Pampanga

Quick Rundown:

Support with scheduling tasks, medical records handling, HR and recruiting coordination, supply management, and general administrative work. This role functions as an all-around medical administrative assistant. Workflows involve daily coordination with nurses, internal staff, suppliers, and third-party service partners. This role does not include direct patient communication.

What You’ll Do:

  • Scheduling and Provider Coordination
    • Manage provider scheduling, calendar updates, follow ups, and availability changes.
    • Coordinate with nurses and internal staff to confirm details and resolve conflicts.
    • Maintain accurate scheduling entries, documentation, and communication trails.
  • Medical Records Support
    • Process and track medical records requests.
    • Coordinate with nurses and third-party partners for document retrieval.
    • Maintain organized digital records and update charts as needed.
    • Assist with routing lab results, reports, and related documentation.
  • HR and Recruiting Support
    • Assist the in-house recruiter with applicant tracking and candidate coordination.
    • Update pipelines, schedule interviews, and maintain candidate files.
    • Support onboarding document preparation and status tracking.
  • Supply and Operations Support
    • Place supply orders for all locations and track fulfillment.
    • Coordinate with vendors and suppliers.
    • Maintain basic inventory records and confirm deliveries.
    • Prepare summaries, reports, and administrative documentation.



  • General Administrative Support
    • Assist with internal communication, file organization, and workflow updates.
    • Support telemedicine logistics when needed.
    • Prepare documents, forms, and operational materials used by the clinical team.
  • Flexible Duties
    • The responsibilities above reflect the primary scope of the role. Additional duties related to scheduling, records, HR support, operations, or administrative workflows may be assigned. The role supports multiple departments, and tasks may evolve based on future process needs and organizational priorities.


What Were Looking For:

  • Experience in medical administration or healthcare office support.
  • Strong coordination skills and attention to detail.
  • Familiarity with EMR systems and medical documentation workflows.
  • Ability to support multiple functions without losing accuracy.
  • Professional written and verbal communication skills.
  • Proficiency with Microsoft Office, Google Workspace, and common admin tools.
  • Understanding of HIPAA and proper handling of confidential information.
