Job Summary

This role will act as a general executive assistant supporting me across administrative, operational, and light marketing activities. The person should be proactive, organised, and comfortable managing multiple small tasks across the business.

Core Responsibilities

Executive Support

  • Email management and inbox organisation
  • Calendar management and scheduling meetings
  • Coordinating meetings and preparing meeting notes where required
  • Acting as a point of contact when I’m unavailable and liaising with team members

Business Administration

  • General administrative support tasks
  • Managing invoices and payments
  • Uploading and organising receipts
  • Maintaining organised documentation and records
  • Supporting basic operational coordination

CRM & Sales Support

  • Updating CRM systems and maintaining accurate records
  • Supporting LinkedIn and email outreach campaigns
  • Managing follow-ups and contact lists
  • Assisting with lead tracking and CRM updates

Marketing Support

  • Refining and publishing marketing materials
  • Posting on social media platforms
  • Basic video editing (cut and caption)
  • Assisting with email marketing campaigns
  • Formatting or refining content before publishing

They would not necessarily be responsible for creating original marketing content initially, but should be

comfortable editing, formatting, and publishing material as they become more familiar with the business.

Other Support

  • Attending customer meetings when useful for note-taking or follow-up coordination
  • Helping track action items from meetings
  • Supporting general coordination across the team

The goal is for this person to become the primary operational touchpoint for day-to-day matters and help

keep things organised.

Qualification & Requirements

  • Proven experience as an Executive Assistant, Administrative Assistant, or similar role
  • Strong organisational and time-management skills with the ability to handle multiple tasks
  • Excellent written and verbal communication skills
  • Proactive, detail-oriented, and able to work with minimal supervision
  • Proficiency in email and calendar management tools (e.g., Google Workspace or Microsoft Office)
  • Experience with CRM systems and basic sales support processes
  • Familiarity with LinkedIn and email outreach tools
  • Basic knowledge of social media management and digital marketing workflows
  • Basic video editing and content formatting skills
  • Experience handling invoices, receipts, and general administrative processes
  • Ability to maintain confidentiality and act as a reliable point of contact
  • Comfortable coordinating with teams and tracking tasks or action items
