Job Overview

Our client is looking for a detail-oriented and proactive Xero Construction Bookkeeper to provide comprehensive administrative and financial support. This role is essential for streamlining operations within the building and construction industry, ensuring that project tracking, financial management, and client communications are handled with precision and professionalism.


Schedule

  • Monday - Friday, 8:00 AM - 5:00 PM AEST, with 1 hour unpaid break (40 work hours per week)

Responsibilities

  • Systematically manage and update Xero for all financial transactions, including daily/weekly bank reconciliations and processing supplier invoices/expense claims.
  • Generate and send client invoices for completed milestones, diligently following up on overdue payments.
  • Manage the founders email inbox, prioritizing urgent communications and drafting responses.
  • Coordinate project schedules with tradies and suppliers, ensuring timely communication and updates.
  • Proactively manage client communications regarding project status and coordinate client selections (e.g., materials, finishes).
  • Facilitate and track the progress of plan and document approvals with relevant authorities.
  • Maximize the utilization of job management software (e.g., BuildXact/WunderBuild) for project tracking, costing, and reporting.
  • Assist in the implementation and ongoing maintenance of a CRM system for streamlined lead and client management.
  • Organize and file all project-related digital documents (permits, contracts, photos) in a centralized system like OneDrive.
  • Draft initial estimates and tenders using established templates and research supplier pricing for project materials.
  • Create comprehensive Standard Operating Procedures (SOPs) for recurring VA tasks and maintain a central knowledge base.
  • Assist with basic social media updates and scheduling posts.


Requirements

  • Proven experience in administrative support, with a strong preference for backgrounds in the building or construction industry.
  • Advanced proficiency with Xero for bookkeeping, reconciliation, invoicing, and expense management.
  • Familiarity with or a strong aptitude to quickly learn and master job management software (e.g., BuildXact/WunderBuild) and CRM systems.
  • Exceptional organizational skills, meticulous attention to detail, and a commitment to accuracy.
  • Outstanding communication skills, both written and verbal, for effective liaison with clients, tradies, and suppliers.
  • Proactive problem-solver with the ability to manage multiple tasks, prioritize effectively, and meet deadlines.
  • Tech-savvy, comfortable with cloud-based tools (e.g., OneDrive, Microsoft Teams) and eager to adopt new technologies.
  • Experience with drafting tenders, estimates, or Request for Quotes (RFQs) is highly desirable.

  • This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits. Professional hourly fees are established based on your performance in the application process.
