Our client is a fast-growing software and web solutions company helping staffing firms launch high-performing websites with branded job board experiences. They serve over 200 staffing customers across the US and UK, ranging from small niche firms to enterprise clients. The team is collaborative, friendly, and informal, with a strong focus on accountability, ownership, and long-term relationships.


About the Role:

As a Website Implementation Specialist, you will own a portfolio of website implementations, guiding clients from kickoff to launch. You will keep projects organized, move timelines forward, and ensure clients deliver required inputs on time. You’ll also help clients make informed decisions on site structure, layout, and copy, packaging everything clearly for designers and technical teams. This is a client-facing role that blends implementation workflow, project coordination, and strong communication skills.


Key Responsibilities:

Client Ownership & Implementation Delivery

  • Manage a portfolio of active website implementations
  • Guide clients through the implementation journey, clarifying requests and translating ideas into actionable next steps
  • Proactively request deliverables, set expectations, and communicate how delays impact timelines
  • Coach clients on website best practices and structure


Project Planning & Organization

  • Maintain clear project plans with milestones, dependencies, and risk tracking
  • Keep 10–20 parallel projects organized without dropping details
  • Create client-friendly action lists summarizing what’s needed, by when, and next steps


Content & Asset Management

  • Collect, review, and organize client content including copy, branding files, images, and logos
  • Ensure deliverables are complete, clear, and stored consistently
  • Prepare full implementation packages for internal handoff


Internal Coordination & Handoffs

  • Coordinate daily with designers and technical teams
  • Write clear handoff notes to reduce back and forth
  • Escalate risks early to leadership when deadlines are at risk


Quality Checks & Launch Readiness

  • Review drafts for layout, content placement, links, and mobile responsiveness
  • Manage revision rounds and coordinate user acceptance testing
  • Confirm launch criteria and support post-launch follow-ups


Client Enablement & Support

  • Lead client meetings, document decisions, and send recap notes
  • Provide basic post-launch training and guidance
  • Ensure clients feel supported while maintaining scope and timelines


Process & Continuous Improvement

  • Follow standard workflow while identifying gaps and improvements
  • Share recurring blockers to improve templates, checklists, and guidance
  • Maintain accountability and ownership across implementations


Qualifications & Skills:

Must Have:

  • 2+ years in implementation, project coordination, or client-facing delivery roles
  • Proven experience managing multiple projects simultaneously
  • Hands-on exposure to website projects, digital marketing, or web implementations
  • Strong client-facing communication, ability to guide, educate, and push back
  • Translate non-technical client ideas into actionable requirements
  • Highly organized with strong attention to detail
  • Comfortable with Gantt charts, timelines, deadlines, and dependency tracking
  • Advanced written and spoken English for daily US client interactions
  • Proactive mindset with high accountability and ownership


Nice to Have:

  • Scrum Master, Agile, or structured workflow experience
  • Marketing services, website agency, or web operations background
  • Basic understanding of WordPress or other CMS platforms
  • Experience reviewing or shaping website copy and content structure
  • Light technical experience (HTML edits, QA testing, integrations, API concepts)
  • Exposure to staffing, recruiting, job boards, ATS/CRM systems
