We’ve built all of our technology in house including an EHR, patient care admin system, patient portal, website, marketing technology etc. Winona has two compounding pharmacies and a team of in house physicians providing world-class care via a fully vertically integrated business model.

About the role:

We are looking for a full-time remote Virtual Assistant to join our team and play a pivotal role in our success. This is more than administrative support; we need a strategic partner who anticipates needs, solves problems independently, and takes full ownership of projects.We’re seeking a proactive go-getter with exceptional organizational skills and the versatility to handle diverse responsibilities. If you’re someone who enjoys being a key contributor and thrives in a collaborative environment, this role is perfect for you.

Seniority level: Junior/Mid

Responsibilities:

  • Coordinate complex executive calendars, resolve scheduling conflicts proactively, and ensure all meetings have necessary agendas/files.
  • Identify opportunities to support leadership; anticipate needs before they are flagged and provide solutions rather than just identifying problems.
  • Research and present organized options for flights and hotels; provide real-time standby support and monitoring for executives during official travel.
  • Conduct thorough online research and compile findings into systematic, professionally formatted reports or trackers.
  • Draft professional emails and memos; ensure all spreadsheets and documents meet high standards of formatting and accuracy.
  • Take concise notes, summarize key discussions, and independently track/circulate action items to ensure follow-through.
  • Manage assigned initiatives from start to finish, coordinating with stakeholders across different departments and levels.
  • Maintain the highest level of discretion and professionalism regarding sensitive company information.

Requirements:

  • High proficiency in both written and spoken English.
  • Must be comfortable with basic formulas, data validation, and clean aesthetic formatting in spreadsheets and documents.
  • Ability to analyze situations, research solutions, and present options for decision-making.
  • An uncompromising eye for accuracy; ensures all outputs are polished, error-free, and meet "executive-ready" standards.
  • A high-speed, stable internet connection and a dedicated remote workspace.
