We are seeking a proactive and highly organized Student Experience Officer / RTO Coordinator to support the operations and student engagement functions. This role is ideal for a candidate with strong administrative, communication, and customer service skills who is passionate about delivering a positive student experience.

The successful candidate will play a key role in managing student enquiries, supporting enrolments, maintaining accurate records, and ensuring smooth day-to-day coordination across student support and administrative activities.

Responsibilities:
  • Manage incoming and outgoing telephone calls, including lead enquiries, attendance follow-ups, student support calls, and general communications.
  • Respond to and manage email correspondence in a timely and professional manner.
  • Monitor and manage social media inboxes, responding to prospective student enquiries and directing leads appropriately.
  • Provide chat support to prospective students and assist with course-related enquiries.
  • Maintain and update student records, including USI (Unique Student Identifier) information and related administrative documentation.
  • Prepare and maintain weekly and monthly lead generation and conversion reports.
  • Conduct follow-up activities and re-engagement campaigns for inactive or lost leads.
  • Coordinate and schedule meetings, including calendar management and meeting logistics.
  • Record, prepare, and distribute meeting minutes and action items.
  • Assist with enrolment administration and student engagement activities.
  • Maintain accurate records within CRM and student management systems.
  • Support continuous improvement initiatives by identifying trends and providing administrative insights through reporting.
  • Liaise professionally with students, trainers, and internal stakeholders.
  • Perform ad hoc administrative duties and additional tasks as required to support business operations.
Qualifications:
  • Previous experience in an administrative, student support, customer service, or RTO coordination role is highly preferred.
  • Familiarity with Australian RTO environments, student management systems, or education administration is advantageous.
  • Excellent verbal and written communication skills.
  • Strong customer service and relationship management abilities.
  • High attention to detail with excellent organizational and multitasking skills.
  • Comfortable managing phone-based enquiries and student communications.
  • Proficiency in Microsoft Office Suite and CRM systems.
  • Ability to work independently in a remote environment while managing competing priorities.
  • Strong problem-solving skills and a proactive attitude.
