The Role: Senior Project Accountant


Imagine being the person leadership turns to first when they need to understand the company’s financial position. You’re not just entering transactions or closing the books. You’re creating clarity, protecting cash flow, and ensuring every project’s numbers tell the right story. When an invoice comes in, it’s recorded. When cash needs to be collected, you’re already on it. When payroll runs, it’s accurate and on time because you make sure nothing slips through the cracks.


You’re not just reporting numbers; you’re guiding decisions. From tracking project costs and revenue accurately to delivering clear WIP and monthly financial reports, you help leadership move from uncertainty to confidence. When something looks off, you investigate. When budgets shift, you explain why. When the company grows, you make sure the financial foundation grows with it.


What Your Days Might Look Like:


Management & Financial Oversight

  • Maintain and continuously improve documented accounting policies and procedures to ensure consistency, accuracy, and compliance across all financial operations.
  • Oversee outsourced accounting functions and coordinate with the company’s CPA firm for timely and accurate tax preparation and filings.
  • Provide guidance and oversight to the accounting support team, including the Project Accounts role and Administrative/Purchasing support (with limited direct supervision due to the remote structure).
  • Serve as a strategic financial partner to leadership, providing insights, analysis, and recommendations to support sound business decisions.


Transaction & Cash Flow Management

  • Ensure timely and accurate entry of production invoices (materials, products, and labor) to maintain weekly visibility into project progress.
  • Prepare and issue Requests for Payment with adequate lead time to maintain strong cash flow between project phases.
  • Oversee accurate entry of receiving documents and vendor invoices to support proper job costing.
  • Manage accounts payable to ensure timely payments while maximizing available discounts.
  • Drive proactive collection of accounts receivable and prepare customer statements to minimize outstanding balances.
  • Process payroll accurately and on time, ensuring proper job cost allocation.
  • Complete monthly bank reconciliations to support a timely month-end close (target: by the 5th).
  • Ensure all required debt payments are made on schedule.
  • Prepare and file monthly sales and use tax returns in compliance with California regulations.
  • Maintain an organized chart of accounts and structured financial filing system.
  • Establish and maintain strong internal controls to safeguard assets and prevent errors or fraud.


Reporting & Financial Analysis

  • Deliver complete and accurate financial statements by the 15th of each month.
  • Provide required monthly P&L and Balance Sheet reporting per organizational specifications.
  • Coordinate weekly production reporting to support visibility into project profitability and performance.
  • Monitor key operating metrics and investigate unusual trends or variances.
  • Compare actual performance against budgets and forecasts, providing analysis and recommendations.
  • Identify and communicate significant budget variances or financial risks.
  • Prepare cash flow forecasts and cash planning reports to support strategic decision-making.
  • Stay informed on construction industry benchmarks to evaluate company performance and identify improvement opportunities.


Compliance & Financial Stewardship

  • Coordinate with external auditors as needed to ensure smooth audit processes.
  • Monitor debt levels and ensure compliance with lender covenants.
  • Ensure full compliance with all local, state, and federal reporting and tax requirements.


Project Accounting Leadership

  • Provide clear, accurate financial updates in project meetings.
  • Ensure proper revenue recognition using percentage-of-completion methodology and GAAP standards.
  • Produce accurate and timely Work in Progress (WIP) reports.
  • Proactively manage change order tracking and communicate financial impacts to project stakeholders.
  • Apply strong project accounting discipline and analytical skills to support system improvements and operational process enhancements.


Who We Think Will Thrive in This Role:

  • You have progressive accounting experience in construction or manufacturing
  • You’re highly proficient in QuickBooks
  • You have a solid understanding of the U.S. GAAP and accrual-based accounting, along with hands-on experience handling California sales and use tax filings and state compliance requirements.
  • You’re a self-starter who works independently, takes ownership, and gets it right the first time
  • You’re detail-oriented and organized, ensuring financial data is accurate, deadlines are met, and nothing slips through the cracks.
  • You’re analytical and proactive, able to identify issues early, investigate discrepancies, and provide clear recommendations.
  • You’re reliable, responsive, and comfortable partnering with leadership to translate financial data into actionable insights.
  • You are willing to work in a US time zone schedule.
  • You can secure the required technical setup, including:
  • At least a 720p HD webcam
  • A noise-canceling headset
  • A primary internet connection of at least 25 Mbps
  • A backup laptop, backup internet device, and backup power source
  • A main computer with at least Intel Core i5 (or equivalent) and 8 GB RAM
  • A backup computer with at least Intel Core i3 and 4 GB RAM
