Job Description

We are seeking a detail-oriented and tech-savvy Administrative Assistant to support our sales team with CRM updates, scheduling, and proposal preparation. This role is ideal for someone highly organized who enjoys keeping systems updated and helping sales operations run smoothly.


Schedule:

  • Monday to Friday, 12:00 PM – 5:00 PM EST (25 hours per week)

Responsibilities

  • Update and maintain accurate notes and records in Salesforce CRM
  • Enter meeting summaries and action items (including copying summaries from tools such as Fathom)
  • Set calendar reminders and follow-ups for the sales team
  • Build and format service proposals and supporting documents
  • Assist with general sales administration and organization tasks
  • Ensure all client and lead information is properly logged and up to date
  • Support the sales team with ongoing operational needs


Requirements

  • Proficient in Salesforce
  • Strong attention to detail and organizational skills
  • Comfortable working with CRMs
  • Tech-savvy with the ability to quickly learn new tools and software
  • Proficient in Google Workspace or Microsoft Office (Docs, Sheets, Calendar, etc.)
  • Ability to accurately follow processes and meet deadlines
  • Clear written communication skills

Preferred (Nice-to-Have):

  • Prior experience in sales support, admin assistance, or CRM management
  • Familiarity with meeting transcription or note-taking tools (e.g., Fathom, Otter, etc.)
  • Experience creating proposals, quotes, or client-facing documents



Side Note

  • This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits. Professional hourly fees are established based on your performance in the application process.
