Job Description

We are seeking a highly organized and proactive Executive Assistant (EA) to support client relationships, operational efficiency, and strategic execution. The EA will primarily assist a Jewish non-profit organization with back-office operations while serving as the main point of contact for client needs. This includes addressing inquiries and ensuring a smooth, positive client experience from initial engagement to ongoing support.

Requirements

  • Must have at least a year of experience as an Executive Assistant, Virtual Assistant, or similar role.
  • The role requires exceptional attention to detail, strong communication, proactive collaboration, and the ability to operate both independently and as a team player while upholding company standards.

Preferred Qualifications

  • Salesforce (experience with Salesforce NPSP is a major plus)
  • Basic spreadsheet/Excel formulas and navigation (VLOOKUP, XLOOKUP, Pivot Tables)
  • Website management (e.g. SquareSpace, Ecwid, Wix)
  • E-mail Management (e.g. Mail Chimp, Constant Contact)

Responsibilities

  • CRM & Database Management: Manage and update CRM systems and other databases—ensure accurate donation records, contact information, and community data to enable reliable reporting, insights, and outreach efforts.
  • Website & Event Tools Maintenance: Update websites with event details, registration links, calendars, and graphics. Prepare and publish registration forms and event pages using a drag-and-drop interface—no advanced coding required.
  • Communications Support: Assist with drafting and distributing weekly community emails or announcements to promote classes, events, or initiatives.
  • Proactive Project Coordination: Anticipate scheduled events and community needs by setting reminders, coordinating publishing timelines, and working with internal teams to ensure materials and client requests are delivered on time.

  • Must have their own work device (preferably a desktop or laptop) and a stable internet connection.
  • Must be comfortable with using a time-tracking software for payroll purposes.

Successful candidates for this role will be rewarded with the following benefits:

  • A total of five paid vacation days per year (additional days can be taken unpaid).
  • A 5% raise per year guaranteed (additional raises or bonuses may be given for outstanding performance).
  • A paid 15-minute break for every 4 hours of work
  • Healthcare benefits after 2 months of full-time work.
  • Vacation days increase by 1 vacation day per year. I.e. after one year of employment, the total paid vacation days on year 2 would be six, on year 3 seven, etc.
