Join the Lavender Team
We are seeking a Referral Coordinator to join our Growth team within Partnerships. This role supports Lavender’s growth by identifying, researching, and engaging potential referral partners across new and existing markets. The Referral Coordinator works closely with the Clinical Partnerships Advisor and Partnerships Manager to ensure outreach efforts are organized, efficient, and aligned with company priorities.
This role is ideal for someone who is highly organized, proactive, and comfortable with external outreach. The Referral Coordinator plays a critical role in maintaining strong data systems, managing communication workflows, and providing logistical and administrative support that enables the partnerships team to focus on building meaningful, high-impact referral relationships.
What You’ll Be Doing
Reporting to the Partnerships Manager, your primary responsibilities will include:
Partnership outreach and lead generation
- Research and identify potential referral partners, including clinics, therapy practices, primary care offices, universities, and related healthcare organizations
- Curate and maintain high-quality lead lists using tools such as Psychology Today, state licensing boards, conference directories, and internal data sources
- Draft and send initial outreach emails, support introductory calls, and manage digital communications to introduce Lavender and assess interest
- Coordinate and schedule introductory meetings (“meet and greets”) for the Clinical Partnerships Advisor, ensuring all meeting details are prepared, shared, and documented
Partnership systems and tracking
- Maintain accurate, up-to-date records in CRM systems or shared databases, tracking outreach activity, follow-ups, meeting outcomes, and next steps
- Build and update summaries or dashboards to support visibility into partnership activity by market, partner type, or campaign
- Monitor outreach workflows to ensure timely follow-ups and consistent, professional communication
- Assist with data collection and reporting related to partnership initiatives and referral performance
Partnership support and coordination
- Support partnership events, conferences, and webinars by coordinating logistics, materials, and communications
- Help develop, organize, and maintain partner-facing resources such as slide decks, information packets, and referral materials
- Collaborate with Marketing and Client Success Operations teams to ensure consistent partner messaging and smooth referral pathways
- Anticipate administrative and communication needs to keep the partnerships team organized, responsive, and effective
What You Bring
- Minimum of 3 years of experience in coordination, outreach, or administrative support (healthcare, marketing, partnerships, or business development experience preferred)
- Excellent written and verbal communication skills, with confidence reaching out to external partners
- Strong organizational skills with exceptional attention to detail and follow-through
- Self-starter who takes initiative and works effectively with minimal supervision
- Comfort using CRM systems, spreadsheets, and email or outreach tools
- Ability to manage multiple priorities and adapt quickly in a fast-growing environment
